CONSULTANT FOR ILLUSTRATION, DESIGNING AND PRINTING OF GEDSI IN DRRM AND GBVIE FLIPCHART
Introduction
People in Need (PIN) is a non-governmental, non-profit international organization founded in the Czech Republic in 1992 and currently active in 22 countries. PIN Nepal began operations in 2015 following the devastating earthquake and continues to work with vulnerable populations including remote communities, historically marginalized social groups, and those marginalized due to gender identity, disability, and age.
PIN Nepal implements programmes under three strategic pillars:
- Emergency Response and Recovery
- Climate Resilience
- Civil Society and Inclusive Governance
PIN is recognized for pioneering work in multi-hazard preparedness, anticipatory action, inclusive education, community-centred climate resilience, Gender Based Violence (GBV) prevention, and inclusive Disaster Risk Reduction (DRR) governance. PIN is strongly committed to safeguarding children and vulnerable adults, including persons with disabilities, in line with its safeguarding framework and policies.
Purpose of the Assignment
The purpose of this assignment is:
Illustrations for Gender Equality, Disability, and Social Inclusion (GEDSI) in DRR and Gender-Based Violence in Emergency (GBViE) Flipchart
- Develop colorful illustrations based on content provided by PIN to support 12 micro‑learning sessions on GEDSI in DRRM and GBViE. Each learning micro-session may require 4-5 pages of illustration.
- Ensure visuals are accessible for low‑literacy and non‑literate audiences and appropriate for flipchart‑based facilitation.
- Ensure illustrations are contextual, relatable, and culturally appropriate within the Nepali context.
Graphic Designing and Printing of Flipcharts
- Design the flipchart with visually appealing illustration and text in A3 size.
- Print 200 copies of the GEDSI in DRRM and GBViE flipchart
- Ensure usability, durability, and visuals standards comparable to the Government of Nepal’s FCHV Flipchart
Scope of Work
The Consultant will be responsible for the following:
3.1. Desk Review and Content Consultation
- Review the 12 finalised micro‑learning session contents provided by PIN
- Understand local cultural contexts, languages, signs, and visual cues used in communities. Participate in inception and safeguarding orientation meetings with PIN teams to agree on:
- Illustration style
- Number of illustrations and pages per session
- Flipchart layout expectations
- Safeguarding compliances to be adhered by the consultants
3.2. Illustration Development
- Develop a clear, culturally relevant illustrations aligned with session concepts (minimum of 30 illustrations or more if required by the session design).
- Ensure illustrations are:
- Ensure visuals support key messages, activities, scenarios, and discussion prompts.
- Suitable for low‑literacy and non‑literate audiences
- Contextual and culturally appropriate for Nepalese communities
- Reflect diverse genders, disabilities, ages, and social identities
- Align visuals with GEDSI, DRR, and GBViE principles, including Do No Harm, Survivor‑centered approaches, Inclusion and non‑discrimination
- Avoid stereotypes, stigma, or harmful representations
- Visual materials should be positive in nature and must not depict any form of violence. Creative approaches should be used to address GBV by illustrating constructive, empowering, and solution-oriented examples rather than reinforcing negative or stereotypical representations.
- 3.3. Review and Revision
- Present draft illustrations (digital mock-ups) to PIN Communication team, and ProGEDSI team before finalizing it.
- Facilitate feedback sessions (virtual/in-person) to refine flipchart, incorporate inputs, and ensure standard compliance.
- Revise illustrations and layouts based on consolidated feedback and prepare near-final versions.
3.4 Basic Design and Printing
- Prepare the flipchart for print, including graphic design and layout finalization.
- Print 200 copies with the following minimum specifications:
- Size: A3
- Inner pages: 200 GSM matte paper
- Cover: 300 GSM laminated cover
- Binding: Spiral binding, similar to FCHV flipcharts, to allow easy page flipping
- Print quality: High‑resolution, full‑color (CMYK) with accurate color reproduction
- Securely package all printed flipcharts and deliver them to the PIN‑designated location.
3.5. Finalization and Delivery
- Submit final high‑resolution illustration in png and tiff format.
- Submit final illustration in pdf format suitable for print and digital use, and web format for online publication
- Provide editable source files (indesign file).
- Deliver 200 printed flipcharts, ready for community‑level use at PIN Kathmandu Office

5. Methodology
The consultant is expected to apply:
- Participatory and inclusive design approaches with iterative feedback.
- Best practices for visual communication with low‑literacy audiences, prioritizing imagery, symbols, and contextually relevant visuals over text.
- Survivor-centered and Do No Harm principles in content messaging.
- Ensure alignment with PIN branding and technical guidance
6. Coordination and Reporting
The consultant will:
- Report to the ProGEDSI Team with technical coordination from the Communications and Advocacy Team.
- Initiate 3 regular check-in meetings (meetings to be set by the consultant).
7. Required Qualifications and Experience
- Proven experience in illustration and visual communication for community education.
- Demonstrated work relevant for low‑literacy or marginalised audiences.
- Strong understanding of safeguarding, GEDSI, DRR, and GBV principles.
- Experience producing flipcharts or similar facilitation tools.
- Sensitivity to diverse cultures, gender dynamics, and inclusive principles.
8. Evaluation Criteria

9. Safeguarding and Ethical Requirements
The consultant must:
- Adhere to PIN’s Code of Conduct, Safeguarding Policy, and Child Protection Policy.
- Ensure all messaging is survivor-centered, inclusive, and avoids stereotypes.
- Report any safeguarding concerns encountered during the assignment promptly to PIN safeguarding focal points.
10. Payment Terms
Payment will be made upon satisfactory completion and submission of agreed deliverables.
11. Application procedure
Interested consultants should submit:
- Profile of the institution with CVs of key Personnel or your CV in case of individual.
- At least two samples of relevant illustration/flipchart work
- Technical proposal with proven experience, key deliverables, plan of action, and timeline.
- Financial proposal (inclusive of illustration, design, and printing)
- A copy of the Company Registration certificate (where applicable)
- A copy of VAT certificate and/or PAN details (obligatory)
- A copy of tax clearance for the last fiscal year (where applicable)
