1. Introduction

Association of Intellectual Disabilities (AID), Nepal, invites qualified vendors to submit Expressions of Interest (EOI) for the development of inclusive, accessible, and culturally relevant informational materials on the Convention on the Rights of Persons with Disabilities (CRPD) reporting process and the Conference of State Parties (COSP). 

In collaboration with KOSHISH Nepal and the Autism Care Nepal Society, we will clarify the CRPD reporting process and COSP by creating clear and accessible informational materials. This project aims to empower persons with disabilities, particularly those with intellectual disabilities, by providing clear and comprehensible resources in Nepali and Easy-to-Read formats.

2. Scope of Work

The selected vendor will be responsible for developing two core informational products:

  1. An Easy-to-Read Guide to the CRPD Reporting Process
  2. An Easy-to-Read Explainer on the Conference of State Parties (COSP)

Vendor will be expected to complete the following tasks for both documents:

  • Content Review: Analyze CRPD documents and COSP materials to extract key messages relevant to persons with intellectual disabilities.
  • Translation: Translate identified content into Nepali, ensuring linguistic accuracy and cultural appropriateness.
  • Easy-to-Read Development: Create Easy-to-Read versions of the materials following global accessibility guidelines, adapted to the Nepali context.
  • Consultations: Conduct inclusive consultations with persons with intellectual disabilities to ensure relevance and usability.
  • Expert Review: Collaborate with legal and accessibility specialists to validate the accuracy and accessibility of the materials.
  • Design: Produce visually appealing, user-friendly final materials suitable for print and digital distribution.

3. Vendor Qualifications

Vendors must demonstrate the following qualifications:

  • Proven experience in developing Easy-to-Read and disability-inclusive informational materials.
  • In-depth knowledge of the CRPD and COSP processes.
  • Proficiency in the Nepali language and understanding of Nepal’s cultural context.
  • Commitment to inclusive practices, including meaningful engagement with persons with disabilities during the development process.

4. Submission Requirements

Interested vendors must submit the following:

For Companies:

  • Company Profile: Overview of the organization, including relevant experience in disability rights and accessible communication.
  • Proposed Methodology: Detailed approach to completing the scope of work, including consultation and review processes.
  • Timeline: Proposed schedule aligning with the project timeline (September 15 to October 15, 2025).
  • Budget Estimate: High-level cost breakdown for the project.
  • Key Personnel: Names, qualifications, and roles of team members assigned to the project.
  • Sample Work: At least two examples of previously developed Easy-to-Read documents (in soft or hard copy).

For Individual Consultants:

  • Personal Profile/CV: Summary of qualifications, relevant experience in disability rights and accessible communication.
  • Proposed Methodology: Detailed approach to completing the scope of work, including consultation and review processes.
  • Timeline: Proposed schedule aligning with the project timeline (September 15 to October 15, 2025).
  • Budget Estimate: Daily rate or total cost estimate for the assignment.
  • Sample Work: At least two examples of previously developed Easy-to-Read documents (in soft or hard copy).

5. Selection Process

  • EOIs will be evaluated based on the following criteria:
  • Relevance of experience and qualifications to the project objectives.
  • Quality and feasibility of the proposed methodology and timeline.
  • Commitment to inclusive practices and consultation with persons with disabilities.
  • Cost-effectiveness of the proposed budget.

Shortlisted vendors may be invited for further discussions or to submit a detailed proposal.

6. Timeline

  • EOI Submission Deadline: September 10, 2025
  • Project Start Date: September 15, 2025
  • Project Completion Date: October 15, 2025

Note: AID Nepal reserves the right to reject any or all EOIs without providing reasons.
