Introduction:

Assistant to Head of Veteran Services (HVS) is responsible to assist Gurkha veterans and their eligible dependants in the UK settlement application process, help them apply National Insurance and provide information about the settlement including welfare provisions available in the UK. In addition, S/he will be responsible for offering administrative and clerical support to ensure efficient operation of BGN Veteran Services (VS).  The role demands a proactive, organised individual with highly developed IT skills who can handle multiple tasks simultaneously, with exceptional attention to detail.

This position is advertised at 37 hours per week.

Job description:

  • Act on behalf of the Head of Veteran Services when required.
  • Support the Head of Veteran Services in managing day-to-day operations.
  • Assist with reporting, monitoring, and risk management of Veteran Services.
  • Assist in building and maintaining strong relationships with dispersed Gurkhas Veteran Advice Centre/Darjeeling Veteran Advice Centre (GVAC/DVAC)/ Records locations and key stakeholders to enhance the delivery of effective support to Gurkha veterans and their spouses.
  • Develop and maintain Veteran Services Teams’ Data Entry Forms/Dashboards on Excel and build Word and MS Forms.
  • Collation of Veteran Services Teams’ statistics and produce VS Management Information Report for the stakeholders at the end of the month.
  • Manage and maintain the Veteran Services (VS) database, including appraisal records, leave management and task tracking systems, ensuring accuracy and timely updates.
  • Act as Secretary for Veteran Services (VS) meetings,  responsible for issuing meeting invitations, coordinating and collating agenda items and preparing and distributing meeting minutes following each meeting.
  • Record, file, action, and/or forward all incoming internal and external correspondence, emails, and telephone enquiries as appropriate, ensuring they are handled promptly, accurately and professionally.
  • Manage and maintain the Veteran Services BGN website, ensuring content is accurate, up to date, relevant, and accessible to veterans, stakeholders and staff.
  • Maintain and enhance the VS Ministry of Defence Network (MODNet) SharePoint site to support effective communication, information sharing, collaboration, and knowledge management across the Veteran Services team.
  • Provide information on latest UK visa immigration policies and regulations.
  • Counselling and briefing Veterans and their families with settlement process and entitlements.
  • Prepare and guide applicants with all required documents, visa fee payment process and biometrics appointment expectations.
  • Manage visa appointments for visa application process and/or document checking by dealing via telephone enquiries and emails or in person.
  • Completing individual online visa application and registration forms for settlement in UK.
  • Arrange Biometric appointment with Visa Facilitation Services (VFS) Global as a final step to visa process.
  • Process Electronic Visa after visa is approved. Create Share code when necessary.
  • Guide them to Gurkha Welfare Advice Centre (GWAC) in UK for Veterans to register once they reach UK.

Work Experience:

  • Minimum 3 years of experience in related field
  • Proficient in IT knowledge of Microsoft Office applications (specially word, excel, power point and outlook).
  • Very good knowledge of Nepali identity documentation.
  • Familiar with UK visa procedure and immigration rules and policies and life in UK are preferable.
  • Should have good communication skills in both English and Nepali (written and spoken) including translating documents.

Qualification:

  • Academic – Minimum Intermediate or + 2 level/A level
  • English – Excellent level of Written and Spoken
  • Nepali – Excellent level of Written and Spoken

Benefits & Working Environment:

  • Salary 107,363.00 NPR per month (Permanent).
  • Gratuity after completing 3 years’ service.
  • Dashain Bonus & Retirement Funds i.e. EPF and CIT (optional).
  • Public holidays 10 days and Annual leave 25 days (Annual leave will be increased to 30 days after completing 5 years of service).
  • 100% reimbursement of medical expenses for Job Holder and limited reimbursement for immediate dependants.

Security and Medical Check:

Successful candidates must meet the security and medical requirements before they can be appointed. The level of security needed is a Govt of Nepal Police Report for employment in Nepal. Pre employment medical check will be carried out by BGN.
