Position: Assistant Finance Officer
Work station: Field based – Solukhumbu District [Sotang Rural Municipality]
Period: Till December 2026 [with possibility of extension]
Terms & Conditions: Fixed-Term Contract

QUALIFICATION AND SKILLS REQUIRED:
- Bachelor in Management or any other relevant field.
- Minimum 2 years' experience in general administrative with specific knowledge of general accounting, voucher preparation and operating accounting software.
- Required Knowledge in banking, taxation related tasks and ability to handle day to day operational activities.
- Work experiences of I/NGOs with similar role will be preferable.
- Preferred two wheelers driving license holder
- Added value will be given to local candidate of Solukhumbu District
POSITION OVERVIEW
The Assistant Finance Officer is responsible for supporting accounting, financial transactions, bookkeeping, and financial reporting for the ECD Harmony Project at the field office of Seto Gurans National Child Development Services. The position ensures effective financial management, administrative support, compliance with organizational and donor requirements, and smooth field office operations.
KEY RESPONSIBILITIES
1. Administration:
- Deposit all statutory tax obligations in a timely manner and submit monthly ETDS returns.
- Organize, maintain, and update field office files, records, and documentation systematically.
- Handle official correspondence with vendors, consultants, and government authorities as required.
- Support utility payments, travel arrangements, and other administrative functions to ensure smooth field office operations.
- Carry out administration-related tasks as assigned by the Admin/Finance Coordinator.
- Track staff attendance, Timesheet, leave, and report regularly to supervisors.
- Provide support for HR functions, including updating staff-related records and documentation.
2. Financial Management:
- Maintain project accounts and support to prepare financial reports in compliance with organizational and donor guidelines, in coordination with the Senior Finance Officer.
- Process and document all financial transactions, including vouchers, payments, reimbursements, petty cash, and banking activities.
- Review and verify settlement and reimbursement requests from staff, vendors, and consultants.
- Prepare monthly bank reconciliation statements and financial transaction reports.
- Monitor field-level budget utilization and report financial variances and issues to supervisors.
- Support project financial monitoring, audits, and reporting by maintaining accurate records and supporting documents.
- Prepare monthly work plans and progress reports as required.
- Ensure compliance with organizational policies, donor requirements, and financial procedures.
3. Procurement Management
- Provide logistical support for field-level programs, events, workshops, and meetings, including venue arrangements, transportation, and refreshments.
- Support procurement processes at the field level, including obtaining quotations and coordinating with vendors.
- Maintain and verify the record of supplies, office equipment, and fixed assets of the Project field office and take semi-annual verification.
4. Safety and Risk Management
- Ensure the financial and physical security of organizational assets.
- Comply with organizational Safeguarding and Prevention of Sexual Exploitation, Abuse, and Harassment (PSEA) policies.
- Identify and report potential risks.
- Perform any other duties assigned by the organization as required.
