Job Description – Program Officer

Position: Program Officer (PO)

Duty Location: FTG Nepal office in Lalitpur, with occasional visits to member organizations and project sites

Reporting to: Director, FTG Nepal

Summary of Position:

This position serves as a thematic focal person on issues of advocacy, monitoring, membership, progrramme and communication within Fair Trade Group Nepal secretariat. The role of this position is to support smooth implementation of the projects address membership enquiries, assist members and prospective members, and organize advocacy programs to promote Fair Trade. This position requires occasional travel out of office, local and some international travel as per requirement.

Key Areas of Responsibilities:

1. Programme Support

  1. Look after the livelihood portfolio of the organization
  2. Support in preparing proposals and concept notes
  3. Assist in developing and implementing annual action plans
  4. Assist to prepare operational plan and budgets for annual action plan
  5. Assist in preparing the annual reports, newsletters, monthly updates
  6. Managing the volunteer services for FTG Nepal and its member organizations
  7. Support in organizing workshops, seminars, trainings including arrangement for venue, logistics and transportation

2. Fair Trade Advocacy

  1. Coordinate/conduct  Fair Trade advocacy and awareness related activities/programs
  2. Coordinate World Fair Trade Day celebration activities and other such activities
  3. Document and disburse Fair Trade related resources and communications from WFTO and WFTO regional/national networks.

3. Membership Related

  1. Entertain membership enquiries and provide orientation to target groups as per action plan
  2. Screen incoming application for the membership and carry out the assessment of the new members / existing members based on the FTG code of conduct
  3. Update and maintain the member’s database and documentation regularly
  4. Conduct membership expansion activities regularly, out reaching to potential members
  5. Organize Learning Sessions among members to share best practices
  6. Organize membership connection events
  7. Compile member stories/updates and disseminate to stakeholders

4. FT Monitoring Membership / Monitoring

  1. Develop and implement monitoring and assessment system for members and undertake assessment/monitoring for existing members
  2. Conduct Self Assessment of FTG as per the given format by World Fair Trade Organizations biennially
  3. Serve as a focal person on issues related to certification/producer assessment and quality management (including all activities related to current SFTMS project and follow ons)

5. Communication

  1. Communicate with WFTO/WFTO Asia/Country networks on: FTG Nepal activities
  2. Update FTG nepal member organizations on communiqués received from WFTO/WFTO Asia/Country networks and other relevant stakeholders
  3. Design and Develop of promotional materials for events in coordination with PO/Director
  4. Update FTG Nepal brochure and member information
  5. Update FTG Nepal website, social media
  6. Provide all relevant information to the members, timely

6. Office Support

  1. Maintain filing system in coordination with Account Finance Manager/Director
  2. Assist in procurement in coordination with Account Finance Manager
  3. Maintain event/activity reports and submit to Director in timely manner

Required Qualifications

  1. Bachelor’s degree in Business, Social Work, Non-Profit Management or related field with at least two years of experience or participation in extra-curricular activities.
  2. Relevant experience in program management.
  3. Good interpersonal communication skills and presentation skills with experience in marketing/communication strategies
  4. Ability to coordinate multiple projects simultaneously, work well under pressure and meet deadlines.
  5. Attention to detail

Desired Skills

  1. Technical skills on photography, designing
  2. Knowledge of Adobe Photoshop
