The person and the job
If you possess an appropriate university degree or equivalent professional qualification, and have at least 5 years’ experience in an administrative supervisory or management capacity, you could be the person we are looking for. The Office Manager is responsible to provide financial, administrative and operational support for IWMI Nepal office under the supervision of Head of Office, IWMI-Nepal and in close consultation with IWMI-Headquarters (HQ). This person will report to the Head, IWMI-Nepal and will be based at the Nepal office of the International Water Management Institute (IWMI) in Kathmandu, Nepal.

You will:
  • manage the day-to-day delivery of the Kathmandu Office administrative, financial & general support services;
    • ensure accurate project expense accounting, monthly expense reporting and control account reconciliations to ensure seamless data transfer with HQ;
    • manage petty cash transactions;
    • act as primary contact with IWMI’s local banks;
    • manage IWMI-Nepal assets register and track budget transactions for all projects under IWMI-Nepal office;
    • with HQ-HR support assist the Head of Office in HR administration including: recruitment/selection, induction/settle-in process for new staff including related logistical support, leave management, contracts management, salary administration, performance appraisals and be the custodian of national staff personal files;
    • make arrangements for and coordinate meetings, conferences and workshops as and when required;
    • ensure effective customer relations e.g. answer telephones, meet and greet clients/visitors and liaise with IWMI offices/partners and government officials;
    • coordinate travel arrangements by arranging travel itineraries, air tickets, hotel reservations and related tasks;
    • organize/renew visas and resident permits for visitors/expatriate staff as necessary; and
    • procurement of items for IWMI-Nepal office in consultation with Head of Office and ensure supply of adequate stocks of stationery and other office supplies and track supply/utilization of same according to IWMI practices.  
  • assist expatriate staff, interns/fellows in securing suitable accommodation and suitable rental contracts;
  • prepare (with the Head) agreements and contracts for consultants and projects;
  • manage the office space and environment including supervision of cleaning and security as well as IT services;
  • provide programmatic support to research staff by generating periodic project reports as required by IWMI’s headquarters and IWMI’s partners and donors as per specified timelines, updating project records on e-project/e-filing and other tasks as assigned by the Head of Office;
  • under the guidance of the Head and in consultation with HQ , manage the overall regional communications within the Nepal office for all general, non-research topics including maintaining updated corporate and projects contacts/mailing lists, liaising with HQ for information and outreach support, facilitating production of publications (including interactions with researchers and service providers for layout, design , printing, formatting, proofreading, etc.) and coordinating with the communications department on the distribution of IWMI’s publications material; and
  • manage an accurate, transparent and robust finance system in accordance with IWMI standards and practices and in close consultation with HQ-Finance.  This includes accounts related to partner activities.

You will possess:
  • an appropriate university degree or equivalent professional qualification;
  • at least 5 years’ experience in an administrative supervisory or management capacity;
  • experience in international organizations;
  • experience of accounting/financial procedures and controls;
  • comprehensive knowledge of  administrative and operating protocols and policies; 
  • sound knowledge of Microsoft Office packages: Word, Excel and PowerPoint financial accounting procedures;
  • excellent service approach and service management skills;
  • excellent personal organization and priority setting skills;
  • well-developed people skills; 
  • excellent team skills; 
  • excellent interpersonal and communication skills; 
  • excellent written and spoken English; and
  • flexibility and ability to adapt in unforeseen circumstances. 
It would be useful if you had:
  • a recognized financial qualification; and 
  • an understanding of the local regulations.
