Janahit Gramin Sewa Samittee (JGSS) is a Sindhupalchowk based NGO, registered in 1992, is pioneer in conducting economic development, social mobilization, local governance, poverty reduction, health, and sanitation and hygiene promotion programs in the district. JGSS is committed to improve the livelihood of the rural people especially the poor and the marginalized through self-help and community mobilization.

Janahit Gramin Sewa Samiti (JGSS) is a Sindhupalchowk based NGO, registered in 1992, is pioneer in conducting economic development, social mobilization, local governance, poverty reduction, health, and sanitation and hygiene promotion programs in the district. 

JGSS,in partnership with Oxfam, is implementing Nepal Earthquake Recovery 2017 in Sindhupalchok. The project aims to provide assistance to population of the most vulnerable and poor, earthquake affected population of Hagam, Pangtang, Baramchi of Jugal rural municipality and Kadambas and few wards of Chautara Municipality of the district through the restoration of WASH facilities and promotional activities, Shelter, DRR, food security and vulnerable livelihood and gender and protection.  In order to execute the project activities in aforementioned clusters, we are hiring competent staffs for the following positions.

JOB TITLE: LOGISTIC OFFICER

REPORTING LINES: 

  • Post holder reports to: PC 
  • Staff reporting to this post:  Logistics Assistant

DIMENSIONS: 

  • solving day-to-day problems without upward referral 
  • Manage own time to deliver departmental objectives 
  • Contribute to procedures and strategy in the light of local context 
  • Ensure timely and quality logistics support and delivery of logistics items in accordance with organizational, Government of Nepal and donor requirements 
  • Plan and manage logistics functions and ensure it is understood and implemented. 

KEY RESPONSIBILITIES: 

Procurement Management: 

  • To carry out procurement of goods and services based on authorized requisitions, in line with organization/donor procedures. 
  • To conduct overall procurement process including   tender processes,  ensure such processes are conducted according  organization /donor policies. 
  • To ensure continued good relations with suppliers, that Supplier Relationship Management is maintained at all times and that Service Level Agreements are accurately monitored and reported on. 
  • To ensure that suppliers provide proper documentation for goods and services provided to organization. 
  • Prepare necessary paperwork to finance for the timely payments to suppliers. 
  • To ensure that all transactions are carried out in a transparent, fair and accountable manner 
  • Support to prepare suppliers/service database and ensure regular performance evaluation of suppliers. 
  • Procurement of rented vehicles services, repairs and maintenance, insurance etc are done in a timely basis. 
  • Carry out other logistic work like: support for general procurement, framework contracting with hotels, repairs and maintenance and updating roster as and when required basis. 

Assets management 

  • Implement assets management procedures are strictly followed at all times. 
  • Update Asset register regularly in the donor prescribed format and report accordingly as per requirement.
  • Ensure liaison with all field locations for asset tracking purposes. 
  • Implement assets movement tracking register and assets tagging with required proper documentation.
  • Ensure that physical verification of asset takes place at appropriate intervals 

Fleet Management 

  • To ensure the best effective use of organization vehicles (owned or rented) 
  • To support preparing long term framework contract for vehicle services. 
  • Assess vehicle requirement in a regular interval and manage accordingly. 
  • Prepare vehicle report and circulate to the relevant stakeholders

Warehouse Management:

  • To ensure  the  best and effective management of warehouse stock
  • Update the stock report   regularly and share the report   to stakeholders.
  • To ensure the   tools and templates areused properly for the effective warehouse management.

DESIRED SKILLS AND COMPETENCE: 

  • Bachelor’s degree or equivalent in management or relevant field with 3 years of experience in logistics in humanitarian sector. 
  • Team-working skills. 
  • Flexibility and willingness to work long hours. 
  • Ability to organize and prioritize work. 
  • Flexibility under pressure and in response to changing needs. Ability to work within minimal supervision. 
  • Good written and spoken English and Nepali .
  • Sensitivity to cultural differences, and the ability to work in a wide variety of cultural contexts.
