Position Description

Administrative Assistant

RTI International is seeking candidates for the position of “Administrative Assistant” with the Control of Neglected Tropical Disease: ENVISION project in Nepal. 

ENVISION is a five-year USAID-funded cooperative agreement through which RTI supports and expands NTD control and elimination in priority countries including Nepal and will further the development of evidence-based policies and standards globally. More than one billion people- mostly in the developing world- suffer from one or more NTDs such as lymphatic filiariasis, schistosomiasis, trachoma, onchocercosis and soil transmitted helminthiasis leading to disfigurement and disability, blindness and malnutrition.

The position will be based in Kathmandu and will report to the Office Manager.

RESPONSIBILITIES:

  • Support to Office Manager to purchase office supplies as requested by the staff
  • Support to Office Manager to handle incoming and outgoing telephone calls
  • Maintain an adequate stock of office supplies
  • Provide office supplies and published materials as per request received from staff
  • Maintain inventory record for office supplies and publication materials
  • Proper management of office store
  • Handle and maintain library record
  • Maintain utility related files and general services files including, telephone, fax, newspapers etc.
  • Maintain insurance file, receive insurance claims request from staff, complete the forms, submit claims at the insurance company and follow up for reimbursement, to collect cheque from insurance, withdraw cheque and pay accordingly to staff
  • Assist in providing logistics support for project meetings, workshops and conferences
  • Pick up and deliver letters/invitations/documents
  • Photocopying, punching, binding, labeling, faxing documents and pasting bills
  • Clearance of shipment from Customs and follow up with Customs Department to obtain import license
  • Ensure that the office premises and facilities are well-maintained and secured
  • Regular checkof electrical devices, air conditioners, gas, equipment, windows are off/closed before locking office doors
  • Collect telephone bill and make payment of telephone bill on time
  • Assist the Accountant to fill tax vouchers and make payment of tax and keep record of all tax vouchers accordingly
  • Assist the Accountant to fill online TDS and maintain its record
  • Deposit/withdraw cheque/cash and transfer money from bank for official transactions and collect cheque pad as required
  • Obtain monthly bank statement
  • Assist to deposit monthly salary in the bank, provident fund in citizen investment trust and income/service tax in tax office
  • Assist to submit documents related to VAT refund to USAID, collect letter from USAID regarding VAT refund and submit to tax office, follow-up with tax office for refund of VAT and collect cheque for VAT refund from tax office
  • Assist in payment of allowances (perdiem) to participants and in collecting receipts
  • Assist in day-to-day work at the office
  • Other duties as assigned by the Office Manager

QUALIFICATIONS AND EXPERIENCE:

  • Intermediate level education (10+2) completed with 3 years of experience in above jobs.
  • Experience in office administration, logistics management, and event/meeting coordination.
  • Hard-worker with good interpersonal skills and high-level of integrity.
  • Respectful and tolerant; able to work well in a diverse team.
  • Fluent speaker of Nepali.  Basic English fluency is preferred.

SALARY GRADE: RTI/FSN 5, Level – Support Administration
