Invitation for Bids No: NCB/FY2026-ROTARY CLUB of DHADING/TEN FRIENDS/01

Rotary Club of Dhading, a non-profit organization based in Dhading district, is implementing the School Hostel Expansion Project with financial support from Ten Friends and technical collaboration with Benighat Rorang Rural Municipality.

The Rotary Club of Dhading invites sealed bids from eligible, qualified and registered suppliers/firms/companies in Nepal for the construction of school facilities under the School Hostel Expansion Project.

Terms and Conditions (Mandatory):

1. Interested bidders may obtain the Tender Documents from 17 June 2026 to 1 July 2026 from the Rotary Club of Dhading office during office hours.
2. Tender Document can be requested through email provided below. In case of electronic submission of tender document, supplier should mandatorily lock the file with “Password protection to qualify for process and should provide the password upon request at the time of opening the Tender.
3. Tender document collection and submission shall be accepted from 10:00 AM to 5:00 PM, Sunday through Friday, excluding public holidays. (in case of hard copy)
4. The sealed envelope or submission via email must be clearly marked with the following reference: “NCB/ FY2026-ROTARY CLUB of DHADING/TEN FRIENDS/01". 
5. Tender documents received after the closing date and time will not be considered for the evaluation process.
6. At the time of purchasing the Tender Document, bidders must submit copies of the following documents: (Company profile, Copy of valid company registration certificate, Copy of VAT registration certificate, copy of tax clearance certificate for FY:2081/82).  
7. Failure to submit the required bid security shall result in disqualification.
8. Bid Security will be deposit in Account Name “Rotary Club of Dhading, bank account no. 004010010001961, Sanima Bank Dhading or valid bank guarantee issued by a recognized financial institution will be accepted.
9. Last date and time of NCB/Tender submission is 1 July, 2026 by 12:00 Noon.
10. Bids will be opened in the presence of bidders and their representatives who choose to attend at 1:00 PM on 1 July, 2026 at Rotary Club of Dhading, office Neelakantha-3, Dhading.
11. Bids must be valid for 90 days after the submission deadline and must be accompanied by a bid security amounting to a minimum of NPR 125,000.00 (in words, Nepali Rupees One Hundred Twenty-Five Thousand only), which shall be valid for 30 days beyond the validity period of the bid (i.e., 30 November 2026).
12. The bidder shall be a single entity. Joint ventures are not allowed.
13. If the last date of submission falls on a Rotary Club of Dhading Office holiday, the next working day shall be considered the last date. In such a case, the validity period of the bid and bid security shall remain the same as specified for the original last date of bid submission.
14. Other related rules and regulations will be as per Rotary Club of Dhading Policies & Procedures or Public Procurement Act-2063 and Public Procurement Regulations-2064, with recent amendments.
15. A maximum number of procurement contracts with the bidder is not applicable for this work.
16. Rotary Club of Dhading reserves the right to reject all or any of the bids submitted without providing any reason whatsoever. Canvassing in any form will result in the disqualification of the bidder.
