About the Role

We are a finance, accounting, and operations consultancy supporting boutique retail and service businesses in the Kathmandu Valley. We help our clients build operational discipline through outsourced supervision, HR compliance, and process advisory.

The HR & Operations Executive is our firm's field-based delivery resource. The role combines structured outlet visits with HR documentation, compliance support, and operational reporting across assigned client engagements. You will be our clients' independent operational partner — observing what is actually happening on their floor, maintaining their HR records, and producing the reports that help them run a tighter business.

This is not a desk role, and it is not a junior supervision role either. It is the firm's accountable owner for the operational and HR health of a defined client portfolio.

Key Responsibilities

Field Supervision & Operational Monitoring

• Conduct daily or alternate-day outlet visits to assigned client locations as per the route plan (typically 2–5 outlets per day).

• Complete structured visits of 60–90 minutes per outlet covering cleanliness, staff conduct, sales process adherence, opening/closing checklist verification, and SOP compliance.

• Observe customer interactions and document whether documented sales SOPs are being followed by client staff.

• Conduct spot checks on cash floats, stock displays, product expiry, bill register completeness, and POS usage.

• Submit the Daily Visit Report for every outlet visit — including photo evidence — before leaving the outlet.

• Hold a 10-minute end-of-visit briefing with the outlet manager to communicate observations.

• Submit a consolidated end-of-day summary to the Senior Accountant before 7:00 PM daily.

HR Administration & Compliance

• Maintain the leave register, attendance reconciliation, and employee records for assigned clients.

• Process leave applications, update balances, and prepare monthly leave summaries.• Support clients with HR documentation — offer letters, employment contracts, warning letters, exit documentation — using firm-standard templates.

• Ensure compliance with Nepal Labour Act, SSF, and statutory leave/holiday provisions.

• Coordinate recruitment support for client staffing needs — sourcing, screening, interview coordination.

• Issue quarterly leave and attendance statements to client employees as part of the firm's HR retainer service.

Reporting & Issue Closure

• Maintain the Issue Tracker for every assigned client — raise non-compliance items, follow up on closure, escalate aging items.

• Contribute to the Weekly Outlet Summary delivered to client owners every Monday.

• Support preparation of the Monthly Performance Review for each client.

• Maintain photo evidence, signed checklists, and supporting documentation in the firm's central record system.

Required Qualifications

• Bachelor's degree — BBA, BBA-HR, BBS, or equivalent. Specialization in HR or Management preferred.

• 1–3 years of relevant work experience, ideally combining HR/admin and floor/operations exposure. Examples: HR Executive in a retail or hospitality business, Branch Operations Officer in banking or cooperatives, Store-in-Charge in a retail chain, Junior Auditor with field exposure, Floor Supervisor in hospitality.

• Working knowledge of Nepal Labour Act fundamentals — leave entitlements, working hours, SSF, gratuity, basic statutory compliance.

• Strong written communication in Nepali and English — must be able to write clear, factual reports.

• Comfort with smartphone-based forms, Google Sheets, and basic Excel.

• Valid two-wheeler license and ownership of a two-wheeler — non-negotiable for this field-based role.

• Willingness to be field-based across Kathmandu Valley in all weather conditions.

Compensation & Benefits

• Base salary: NPR 25,000–35,000 per month, depending on experience and qualifications.

• Fuel and communication allowance: NPR 4,000–6,000 per month.

• Performance bonus: tied to report timeliness, observation accuracy, issue closure rate, and client retention.

• Statutory benefits as per Nepal Labour Act — SSF, leave entitlements, festival allowance, gratuity.

• Structured 30-day onboarding with shadowing, joint visits, and progressive solo deployment.
