HR Assistant
REPORTS TO HR Coordinator
EFFECTIVE FROM-TO 01/06/2026 to 31/12/2026
The HR Assistant will support the smooth functioning of day-to-day HR operations while contributing to a positive and inclusive workplace culture. The role requires a proactive, organized, and people-oriented individual who can support recruitment, employee engagement, documentation, HR systems, and staff wellbeing initiatives.
The ideal candidate should be comfortable working in a fast-paced environment, maintaining confidentiality, and supporting continuous improvement within HR practices
MAJOR DUTIES & RESPONSIBILITIES
HR Operations & Administration
- Maintain and update HR related files and records, both in hard copies and e-copies; ensure full confidentiality of the same.
- Update the following HR records in a timely manner- staff list (including interns, consultants, volunteers, casual staff, etc.
- Process staff identity card as and when required
Recruitment & Onboarding
- Ensure the Recruitment Request Form is properly approved and signed prior to vacancy announcement.
- Coordinate and communicate interview schedules to shortlisted candidates via email and phone.
- Process candidate reimbursement requirements for individuals traveling from outside the assessment location and maintain all supporting documents.
- Communicate interview outcomes professionally, including sending regret emails to candidates who were not selected.
- Maintain organized filing and documentation of the complete recruitment process from initiation to closure.
- Support the HR Coordinator in onboarding and orientation processes for newly hired staff.
Reporting
- Support in minuting/note-taking and documentation of meetings/forums.
- Draft and/or provide inputs in the reports produced by HR unit.
- Support HR communication through creative notices, presentations, and awareness sessions.
Employee Engagement & Workplace Culture
- Support employee engagement activities, wellbeing initiatives, and staff events.
- Assist in organizing trainings, awareness sessions, and team-building activities.
- Contribute ideas to improve staff morale, communication, and workplace culture
Required Qualifications & Skills
- Bachelor’s degree in Human Resources, Management, Business Administration, or related field.
- Prior experience in HR/Administration is an advantage.
- Good communication and interpersonal skills.
- Strong organizational and documentation skills
- Proficiency in MS Office applications (Word, Excel, PowerPoint).
- Ability to maintain confidentiality and work collaboratively within a team.
- Positive attitude, willingness to learn, and problem-solving mindset.
Preferred Competencies
- Basic understanding of labor law and HR practices.
- Experience using digital HR systems or HR trackers.
- Creative thinking and ability to support employee engagement initiatives.
- Ability to work in a diverse and inclusive work environment.
