Expression of Interest (EOI)

For Provision of Simultaneous Interpretation, Interpretation Equipment, and Videography Services

1. Background

The Centre for Mental Health and Counselling–Nepal (CMC-Nepal) invites Expressions of Interest (EOI) from qualified and experienced firms to provide simultaneous interpretation services, interpretation equipment, and professional videography services for an international conference scheduled for September 2026.

The conference will bring together national and international participants and will require high-quality interpretation and audiovisual documentation throughout the event.

2. Objective

The objective of this EOI is to identify a competent service provider capable of delivering: 

• Professional simultaneous interpretation services (English–Nepali and Nepali–English);
• Complete interpretation equipment and technical support;
• Professional videography coverage of the conference; and
• Production of an organizational documentary video highlighting disability inclusion.

3. Scope of Services

A. Simultaneous Interpretation Services

The selected firm shall provide:

• Two (2) professional simultaneous interpreters (English ↔ Nepali)

• Interpretation services for three (2-3) conference days (in September 2026)

• Complete interpretation equipment including:
  • Interpretation booth (1)

  • Interpretation console (1)

  • Audio mixer (1)

  • Sound systems required for the event

  • All necessary cables and accessories

• Two (2) experienced sound/technical personnel throughout the conference

• Installation, testing, operation, and dismantling of all equipment

B. Videography Services

The selected firm shall provide:

• Professional videography coverage for 2-2.5 days during the conference (in September 2026)

• Multi-camera coverage of key sessions, keynote speeches, panel discussions, participant interactions, and conference highlights

• Professional audio recording and lighting (where required)

• High-quality edited conference highlight video (approximately 3–5 minutes)

• Delivery of all raw footage on an external storage device or secure cloud platform

Organizational Documentary Video

The selected firm shall also produce one professionally edited organizational video of approximately 10 minutes focusing on:

• CMC-Nepal's work in disability inclusion

• Organizational achievements and impact

• Inclusive mental health and psychosocial support initiatives

• Interviews with staff, beneficiaries, and key stakeholders (as required)

• High-quality graphics, subtitles, background music, and branding

The production shall include concept development, filming, editing, revisions, and final delivery.

4. Deliverables

The selected firm shall submit:

• Successful interpretation services throughout the conference

• Functional interpretation equipment with uninterrupted technical support

• Complete conference video coverage

• One edited conference highlight video

• One organizational disability inclusion documentary video

• All raw video footage

• Final videos in high-resolution digital format

5. Eligibility Criteria

Interested firms should demonstrate:

• Minimum three years of relevant experience

• Proven experience in simultaneous interpretation services for conferences

• Experience in professional event videography

• Experience in producing documentary or organizational videos

• Availability of qualified interpreters and technical personnel

• Availability of required interpretation equipment

• Company registration, VAT/PAN registration, and tax clearance certificate

• At least three similar assignments completed within the last five years

6. Proposal Submission

Interested firms shall submit:

Technical Proposal

• Company profile with complete Company registration documents (Company Registration, VAT & Recent Tax Clearance)

• Relevant experience

• Team composition

• Equipment list

• Proposed work methodology

• Sample videos or portfolio

• References from previous clients

Financial Proposal
A detailed financial quotation including:

• Simultaneous interpretation services

• Interpretation equipment and technical support

• Videography (2-2.5 days)

• Organizational documentary video

• Applicable taxes (VAT)

11. Submission Deadline

Interested firms are requested to submit their Technical and Financial Proposals in sealed envelopes on or before the deadline mentioned (by 21st July 2026) in the invitation notice to following address
