Médecins du Monde France (MdM) is an international humanitarian organization whose mission is to provide medical care for the most vulnerable populations the world over, including France. Médecins du Monde has worked in Nepal since 1995 with an official General Agreement with SWC from August 2001 as an INGO, having PAN 304462560. Currently, MdM is working in Kathmandu Valley, Kavre, Sindhupalchowk, Ramechhap, and Banke district.

MdM Nepal Mission is developing a roster of potential vendors/suppliers in Bagmati and Lumbini and Madhesh provinces with experience working in the following services. MdM invites “Expression of Interest” (EoI) along with relevant services details.

A. General Office administration

1. Vehicle Hire (All over Nepal, specific to Bagmati, Madhesh, and Lumbini Province)

2. Air Ticketing (Domestic and International travel and Visa arrangements)

3. Office Supplies Designing (Diary, Brochure, Annual Reports, Poster, Notebooks, Leaflets, Sticker, etc.)

4. Office Supplies Printing (Diary, Brochure, Annual Reports, Poster, Notebooks, Leaflets, Sticker, etc.)

5. General Repair and Maintenance

• Electricity
• Inverter, battery, UPS
• Generator (Honda, Crompton)
• Plumbing,
• Air Condition
• CCTV
• Intercom telephone
• Doors, windows and locks
• Water filtration

6. Domestic and International Courier Services

7. Visibility Materials (T-Shirt, Caps, Bags, Cups, Pens, jackets, banner cloth, ID cards, Visiting Cards, stamps, token of love Items etc.)

8. IT Equipment Supplies (Laptop, Batteries, Charger, Photocopier, Headphones, Printer, Pen drives, Hard Drives, Telephone sets, Mobile sets, Cartridge Genuine (Canon-337, Canon-057, CanonIR242, and others)

9. IT Servicing & Repair Maintenance (Networking, troubleshooting, remote maintenance support)

10. Appliances (Heater, Water dispenser, Fan, Air condition, Hotpot, Kitchenware,)

11. Stationery and Office supplies (Pen, Notebooks, Rulers, Markers, Index files A4 Paper, sticky notes, flip chart, stapler pin different size, paper/binder clips etc..)

12. General Goods, Groceries & Cleaning Items (like Tea, Coffee, Sugar, Harpic, Toilet Paper, Paper Towel, Hand Sanitizer, Mask, Disinfectant chemicals)

13. Media House (Newspaper advertisements, Online publications, Production house PSA Radio production and broadcasting etc.)

14. Furniture and Fixtures and repairs (Chair, table, cupboards, curtain, carpets)

15. Hotel - (Kathmandu, Sindhupalchok, Ramechhap, Kavre, Dhulikhel, Nagarkot, Chitwan, Hetauda, Simara, Pokhara, Janakpur, Bardibas, Nepalgunj, Dang, Bhaluwang, Pyuthan, Kapilvastu, Surkhet, Bardiya, Kohalpur, Jajarkot etc)

16. Restaurant/Lunchbox Services (Accommodation, Food and Conference/meeting hall etc.), – (Kathmandu, Sindhupalchok, Ramechhap, Kavre, Dhulikhel, Nagarkot, Chitwan, Hetauda, Simara, Pokhara, Janakpur, Bardibas, Nepalgunj, Dang, Bhaluwang, Pyuthan, Kapilvastu, Surkhet, Bardiya, Kohalpur, Jajarkot etc)

17. Catering Service (tent supplies, chairs, food, musical equipment etc.)

18. Insurance Service Provider (medical, accidental, vehicle, assets, goods, travels)

19. Annual Audit (Statutory audit as per ICAN regulations)

20. Legal Services (Project Agreement, Work permit, Labor regulations, Tax regulations)

21. Translation Services (English to Nepali, Nepali to English, French to English) – Administrative, Health, Social documents.

22. Internet Service (corporate and home users

B. Drugs/ Pharmaceutical items- where relevant

1. Essential drugs- the list will be shared on request at mdm.procurement@gmail.com.
2. Drugs for emergency response and specialized SRH camp
3. Psychotropic and narcotic drugs
4. Vaccines (Tetanus diphtheria (TD)

C. Medical equipment, laboratory consumable and supplies for basic health service delivery at primary healthcare level

1. Medical equipment, laboratory consumable and supplies for basic health service delivery at primary healthcare level as standardized by Nepal Government or World Health Organization (WHO)

D. Emergency Preparedness and Response Kits (EPREP)

1. Dignity Kits
2. Hygiene kits
3. NFI- non-food items
4. Winterization kits
5. Non-medical assistance
6. Go Bag Kits

Interested companies, suppliers, vendors having at least 3 years of experience with working Donor Agencies, INGOs and NGOs in providing services as listed above are invited to apply by filling the below google link no later than 31 July 2025.

The minimum required documents are as follows:

• Application letter
• Company profile no more than 3 pages
• Experience letters
• Company registration certificate
• VAT/PAN registration certificate
• Tax clearance certificates for the most recent year

Additional requirement for Medical Drugs, Medical equipment and EPREP services

• Relevant DDA license
• Importation or production certification
• Quality Certifications (WHO or CE certifications)

Important Notice for Vendor Enrolment

• Applications will not be accepted if submitted documents are not valid or renewed up to Fiscal Year 2080/81.
• Médecins du Monde (MdM) is developing a roster of potential vendors/suppliers with proven experience in the above-listed goods/services.
• This is not a request for quotation, but a request for enrolment into the MdM Logistics Vendor Roster.
• All applicants will be subject to a supplier screening and verification process conducted by MdM.
• Preference will be given to suppliers who meet environmental and sustainability standards.
• Please indicate if you are a past supplier or previously associated with MdM. Note that past suppliers must also complete the full eligibility process.
• To prevent or clarify any conflict of interest, kindly inform MdM if you have any personal or professional connection with current MdM staff.
• All qualified companies will be included in the roster. MdM will contact relevant suppliers for quotations as needed during 2025/2026, based on specific service requirements.
