Production of Programme Gala Film: Fellow Story

UWS (UK) Gala 2026, Filmed in Nepal

1. Background

United World Schools (UWS) works to eliminate education poverty in remote and marginalised communities. In Nepal, UWS Nepal partners with rural communities and local governments to ensure that every child, especially girls and children from disadvantaged backgrounds, can access and complete quality primary education.

For its 2026 UK Gala, UWS seeks a qualified and creative videography partner to produce a short film capturing the story of a UWS fellow working in a rural, UWS-built school in Nepal. The film will bring UWS programmes and impact to life for a fundraising audience.

This assignment involves original field filming in Nepal, including story development, on-location filming of a fellow's story and supporting visuals, and editing into a short film for the Gala.

2. Purpose of the Assignment

The purpose of this assignment is to capture a UWS fellow delivering her/his story, filmed on location at a UWS-built school in rural Nepal, for screening at the 2026 UWS UK Gala. The film should bring UWS programmes to life and inspire philanthropic, corporate and institutional support.

The tone should be inspiring, authentic and hopeful, highlighting UWS's impact in rural education. The primary audience includes Gala attendees, high-net-worth individuals, partners and trustees.

3. Nature of Assignment

The assignment involves story development, on-location filming of a fellow's story and supporting b-roll, and editing into a short film of under four minutes with subtitles, together with a shorter social-media cut.

UWS Nepal will provide:

• Access to the school and coordination of the filming visit.
• Introductions with staff, students and the featured fellow.
• Support with consent gathering in line with UWS safeguarding standards.
• A safeguarding-aware staff member present throughout filming.
• Branding materials and logos.
• An on-the-ground point of contact for coordination.
• Any other relevant details required during the course of the assignment.

The selected vendor will be responsible for story development, filming, editing and delivery of both raw and edited materials as outlined in this RFP.

4. Proposal Submission

Interested vendors should submit their technical and financial proposals by email no later than 5:00 PM (Nepal Time) on 3 September 2026.

Proposals should clearly mention the subject line:

5. Terms and Conditions

• Proposals must remain valid for at least 30 days from the submission deadline.
• All quoted prices should be stated in Nepalese Rupees (NPR) and clearly indicate whether VAT and other taxes are included or excluded.
• The selected vendor will be required to enter into a formal agreement with UWS Nepal.
• The selected vendor must comply with all applicable UWS safeguarding, ethical, data-protection and intellectual-property requirements.
• All deliverables, including raw footage, edited footage, b-roll and associated production files, shall become the property of UWS upon completion and payment, subject to the terms of the contract.
• No material produced under this assignment may be used for the vendor's promotional, commercial or other purposes without prior written approval from UWS.
