About the Role

A small healthcare business based in Sydney, Australia is looking for a reliable, sharp, and highly organized assistant to support the Executive Director remotely. You will handle day-to-day admin and basic social media work to help keep the business running smoothly. This is a long-term, stable position.

Important Note on Career Growth: This role offers you a real, hands-on learning opportunity to see how a small business is built and run from inside. Over time, you will grow in skills, confidence, and responsibility. However, this is not a large corporate company – there are no formal promotion ladders or fixed job titles to climb. The growth here comes from gaining real business knowledge, becoming more independent, and taking on greater responsibility.

Key Responsibilities

1. Secretarial & Admin Support

  • Dictation & Document Typing: Taking verbal notes, recordings, or quick voice instructions from the Director and accurately transcribing them into clear, well-formatted documents, policies, or records.
  • Email & Calendar Management: Monitoring emails, filtering priorities, drafting professional replies on behalf of the Director, and scheduling appointments.
  • General Administration: Keeping files organized and handling daily data entry. A basic understanding of numbers or business finances is a bonus.

2. Social Media & Basic Marketing

  • Posting & Scheduling: Managing the business’s social media pages (Facebook, Instagram, LinkedIn, etc.) and keeping the posting schedule consistent.
  • Content Creation: Putting together simple graphics and regular posts using Canva or similar tools. Advanced graphic design skills are not needed, but basic familiarity with the design software is required.
  • Monitoring Pages: Keeping an eye on social media accounts, tracking engagement, and responding to basic messages or inquiries from clients

(Bonus: Uploading simple content to the website is a plus – web design skills are not required.)

Job Requirements

  • Problem-Solving Mindset: We need someone who actively looks for solutions rather than just waiting for instructions. When a problem arises, the ideal candidate can think critically, sort out potential solutions, and present clear options to the Director to make decision-making easier.
  • Education & Experience: A Bachelor’s degree is preferred, but practical ability, and strong work ethic are valued most. Some previous experience in office administration or a secretary role is required.
  • English Skills: Excellent written and spoken English. Candidates must be highly confident drafting professional emails and accurately capturing verbal instructions.
  • Tech Literacy: Solid computer skills and comfort using online office tools. Knowing how to use Canva or similar graphic software is a definite advantage.
  • Home Setup: A quiet workspace at home, a reliable laptop or computer, and a fast, stable internet connection are mandatory.

Only shortlisted candidates will be contacted.
