To achieve this end, it uses design thinking and results-based management approaches to work on – Innovative and Inclusive Education, Digital Transformation, Education in Emergencies and Sustainability and Climate Education.

KS practices participatory decision making and co-designing by bringing together partners, collaborators and end users. KS uses Design Thinking (DT) and Human Centered Design (HCD) as its core project design and management methodology. These operational models are proven by academic literature and experience to lead to more innovative ideas and provide meaningful voice to the intended end-users. To operationalize co-creation, KS works through participatory, collaborative and iterative methods to identify potential solutions. In strengthening this approach, KS also works on building communities of practice which are created deliberately with the goal of gaining, sharing and implementing knowledge to innovate locally and make a global impact.
Purpose of the Position
The Human Resource Officer is responsible for managing the human resources functions at Karkhana Samuha, ensuring effective recruitment, onboarding, staff well-being, performance management, compliance with labor laws, and the promotion of a positive organizational culture that reflects Karkhana Samuha’s values.
Accountabilities (Job Responsibilities)
1. Recruitment & Onboarding
- Lead and coordinate the end-to-end recruitment process including job posting, screening, interviewing, reference checks, and offers.
- Develop and implement inclusive recruitment strategies to attract diverse talent.
- Ensure fair and transparent selection processes aligned with organizational policies and work culture.
- Organize orientation and onboarding programs that foster belonging and understanding of organizational values.
- Maintain updated job descriptions and staffing plans in coordination with department leads.
2. HR Policy Implementation & Compliance
- Implement and periodically review HR policies to ensure legal compliance and alignment with organizational culture.
- Ensure staff are aware of and adhere to HR policies, including the code of conduct, safeguarding, anti-harassment, and grievance redressal mechanisms.
- Maintain compliance with Nepal’s Labor Act and other relevant legislation.
- Support the regular review and update of HR policies as per requirement of organization
- Take on the role of the safeguarding focal point person for the organization
3. Performance Management & Team Development
- Support the implementation of the performance appraisal system, including setting KPIs, conducting mid-term and annual reviews.
- Facilitate staff development and capacity-building initiatives in coordination with leadership.
- Promote learning and development opportunities based on need assessment to team members.
- Collect and analyze the HR data to track performance, retention, and wellbeing.
4. Employee Relations & Engagement
- Promote an inclusive, respectful, and equitable workplace environment.
- Address employee grievances and conflicts with confidentiality and fairness.
- Monitor for workplace bias, discrimination, or exclusion and recommend preventive measures.
- Foster a positive and inclusive work environment that supports staff motivation and well-being.
- Coordinate team-building activities, wellness programs, and feedback mechanisms.
5. HR Administration & Record Keeping
- Maintain accurate and up-to-date personnel files and HR database (physical and digital).
- Track staff attendance, leave, contract expiry, and renewal dates.
- Assist in payroll processing and benefits administration.
- Draft and manage employment contracts, offer letters, and other HR correspondence.
- Prepare HR reports and documentation as required by management and donors.
6. Workplace Culture & HR Planning
- Support a culture where all employees feel valued, heard, and empowered.
- Assist in workforce planning and HR budgeting in collaboration with the Finance and Operations Team.
- Support initiatives related to organizational development, diversity, equity, and inclusion.
- Participate in cross-functional meetings and coordinate training, internal awareness campaigns, and feedback sessions.
Qualifications & Experience
- Bachelor’s degree in Human Resource Management, Business Administration, or a related field (Master’s preferred).
- Minimum 2 years of relevant HR experience, preferably in NGOs or social sector organizations.
- Knowledge of Nepal labor law and HR best practices.
- Strong interpersonal and communication skills.
- Proficiency in MS Office and HR information systems.
Desirable Qualifications
- Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook,notion,) and other relevant software applications
- Excellent verbal and written communication skill
