Vacancy Announcement for the post of Finance and Admin Officer

1. Finance and Admin Officer

Number of Staff Need: 1 (One)

Duty Station: SDJYC's Office - Ilam Municipality, Ilam

Minimum Requirements:

  • Bachelor’s degree in Finance, Accounting, Business Administration, or related field (Master’s preferred).
  • Minimum 3 years of experience in finance and administration, preferably in NGO/INGO sector.
  • Strong knowledge of accounting software (e.g., Realbook, Tally, or similar).
  • Good understanding of Nepal tax laws, VAT, and statutory compliance.
  • Experience working with donor-funded projects.
  • Strong organizational and time management skills.
  • Proficiency in MS Office (Excel, Word, Power point, Email).
  • Excellent written and verbal communication skills in English and Nepali.
  • Strong problem-solving and analytical skills.
  • Priority will be given candidate having a valid two-wheeler license.

Key Duties and Responsibilities

A. Financial Management

  • Maintain accurate financial records in accordance with organizational policies and donor requirements.
  • Prepare vouchers (payment, receipt, and journal) and ensure proper documentation and filing.
  • Manage cash flow, bank transactions, and reconciliations.
  • Prepare monthly, quarterly, and annual financial reports.
  • Support budget preparation and budget monitoring for projects.
  • Ensure compliance with donor financial guidelines and reporting requirements.
  • Process staff salary, tax deductions, and statutory payments.
  • Coordinate annual audits and respond to audit queries.
  • Maintain fixed asset register and inventory records.
  • Ensure timely submission of tax, ETDS, and other statutory obligations.

B. Administrative Management

  • Oversee daily administrative operations of the office.
  • Maintain HR records including contracts, leave records, and personnel files.
  • Support recruitment processes (vacancy announcements, documentation, contracts).
  • Manage office procurement processes ensuring transparency and competitiveness.
  • Maintain inventory and office supplies management.
  • Coordinate logistics for meetings, workshops, and events.
  • Ensure compliance with Social Welfare Council (SWC) and other regulatory requirements.
  • Manage service contracts (rent, utilities, and vendors).
  • Support documentation and compliance for project approvals and renewals.

C. Compliance & Governance

  • Ensure adherence to internal financial policies and procedures.
  • Maintain proper documentation for grants and agreements.
  • Support organizational governance documentation and board meetings logistics.

Time Duration: One year with possible extension.

Benefits: NPR. 40,000 to 42,500/month (Gross).
