FAIRMED is a Swiss development organization dedicated to work with its motto “Health for the Poorest”. The organization plays an important role in providing health care access to the marginalized communities and individuals who are prone to diseases, disability, and poverty. The core focus of FAIRMED's work in Nepal is Neglected Tropical Diseases (NTDs) – Leprosy, LF, Kala-azar, etc and Maternal and Neonatal Health (MNH), while it interweaves GESI and Disability Inclusive Development (DID) as cross cutting themes into its programs to strengthen the health system and increase the uptake of public health services. In order to support the implementation of the project, FAIRMED is looking for a Finance and Admin Officer based in Project Office in Chautara, Sindhupalchowk.

Job Description
Under the direct supervision of Team Leader, the position is responsible for overall management of project Finance and Administrative matters including logistics and procurement. The specific job responsibilities for the position include:
1. Finance
- Handle financial transactions and bookkeeping, including voucher preparation and periodic financial reports, in coordination with the Finance Manager.
- Manage day-to-day financial transactions, record in accounting software, prepare periodic budget forecasts, and conduct expenditure analysis as required.
- Monitor and verifications of financial transactions and budget utilization within FAIRMED and its partner organizations.
- Provide support to PNGO staff in forecasting and managing project budgets and expenditures.
- Capacity building and partner monitoring
- Guide the project team on government financial regulations, annual budget preparation, and compliance with tax and audit requirements.
- Support to ensure donor and legal compliance
- Ensure proper documentation of the finances and supporting files to ensure adequate support for timely and effectively carry out internal and external audits, project evaluations etc.
2. Admin
- Develop and implement the annual procurement plan, ensuring timely completion of all procurement.
- Maintain and regularly update inventory records.
- Conduct periodic evaluations of suppliers and assess the quality of goods and services delivered.
- Safeguard and oversee the use of office assets, equipment, vehicles, ensuring proper security, maintenance, and compliance with insurance and road tax requirements.
3. Logistics
- Initiate and manage transparent, fair, and efficient procurement and logistics processes, including planning, supplier management, asset/inventory control, and compliance with organizational and government regulations.
- Support the logistics framework and contribute to improving systems in coordination with the Sr. Admin and Logistics Officer at the Country Office.
- Oversee logistics operations such as transportation, equipment management, and event arrangements.
Requirements
- At least a bachelor’s degree in business studies/business administration specialized in Accounting/Auditing or finance or semi qualified ACCA or CA with at least 3 years of work experience or, master’s degree with 2 years of work experience in finance, admin, and logistics management.
- Knowledge of advanced excel i.e. VLOOKUP, pivot table, sumif etc and cloud-based accounting software.
- Person having two-wheeler driving license will be advantageous.
