Documentation Officer
Details / requirements:
The Documentation Officer is responsible for managing and coordinating all aspects of the documentation process, ensuring that all documentation is accurate, compliant, and submitted within the required deadlines. This role requires excellent organizational skills, attention to detail, and a strong understanding of tender and procurement processes.
Key Responsibilities:
Tender Documentation Management: Prepare, review, and manage all documentation related to tender submissions.
Coordination and Communication: Liaise with internal stakeholders (e.g., project managers, finance, legal, and technical teams) to gather necessary information for tender documents. Ensure all contributors understand their responsibilities and deadlines.
Tender Timelines: Develop and maintain a tender schedule to manage the submission process effectively. Ensure all documentation is prepared and submitted in a timely manner to meet tender deadlines.
Bid Support: Assist the tender team in preparing supporting documentation, including company profiles, project case studies, financial statements, and other required materials.
Database Management: Maintain a database of previous tender submissions, templates, and other resources to support future tender processes. Ensure all tender documentation is properly archived and easily accessible.
Market Research: Conduct research on potential tender opportunities and stay updated on market trends, competitors, and industry requirements.
