qTerms of Reference (TOR): Account and Admin Officer
Position Title: Account and Admin Officer
Duty Station: Kathmandu, Nepal (with occasional field travel)
Position open for : Female Candidates Only (To align with the organization's focus on women's empowerment)
Position Summary
The Account and Admin Officer manages day-to-day financial, accounting, administrative, and logistical operations for programs in health, education, and economic empowerment. The officer ensures financial transparency, full compliance with Nepalese tax/statutory regulations, and smooth administration.
Key Responsibilities :
Financial & Accounting Management
- Maintain daily bookkeeping, prepare payment vouchers, and keep accurate account ledgers using accounting software (e.g., Tally).
- Handle monthly bank reconciliations, cash flow, and petty cash systems.
- Manage monthly payroll processing, tax deduction at source (TDS), e-TDS filing, and CIT/gratuity compliance.
- Assist in budget preparation, financial tracking, and preparing periodic project expense reports for donor requirements.
- Coordinate and prepare documentation for internal, external, and Social welfare Council financial audits.
General Administration & Operations
- Oversee day-to-day office management, front-desk correspondence, utility payments, and maintenance.
- Maintain physical files, institutional documents, and administrative tracking databases.
- Support the procurement process (soliciting quotations, comparative statements, vendor selection) following organization guidelines.
- Maintain updated asset registers, ensure proper labeling, and conduct periodic physical verification.
- Oversee office inventory, track stock levels, and order supplies as needed.
Qualification Required:
Education: Bachelor’s degree in Business Administration (BBA), Business Studies (BBS), Management, or Accounting/Finance.
Experience: Minimum 1–2 years of progressive work experience in finance, accounting, or administration (preferably in an NGO/INGO setting). Fresh graduates with strong internships in accounting are encouraged to apply. Technical Skills:- Proficiency in MS Office Suite (advanced MS Excel skills required) and accounting software (Tally) and Nepali typing skill
