1. Introduction

1.1 A Brief Introduction of KSSC-NEPAL

Kalika Self-Reliance Social Centre (KSSC-Nepal) has been actively engaged in community development and social transformation for over three decades. The organization has implemented a wide range of programs and projects across the Koshi and Lumbini Provinces. Currently, KSSC-Nepal is working in 48 local governments across eight districts of Lumbini Province. Over the years, the organization has focused on thematic areas such as education, health, nutrition, WASH, MNCH, child protection, gender-based violence reduction, poverty alleviation, women’s empowerment, awareness raising, and emergency response. At present, KSSC-Nepal is implementing the “Groundwater Monitoring in Drought-Affected Areas” project in partnership with UNICEF.

Due to prolonged drought conditions, groundwater levels have significantly declined in terai region. With technical studies and to observe the issues, Banganga Municipality of Kapilvastu District has been selected for establishment of ground water monitoring system to ensure sustainable access to safe drinking water for affected communities. The declining water table and increasing stress on existing water supply systems have created an urgent need for systematic groundwater monitoring to understand aquifer behavior and ensure long-term access to safe drinking water for affected communities.

Mentioned all the areas are characterized by multi-layered alluvial aquifer systems consisting of shallow, intermediate, and deep groundwater horizons. In order to properly assess groundwater dynamics and avoid hydraulic mixing between aquifers, each selected monitoring location will require the installation of three dedicated observation tube wells:

  • One in shallow layer
  • One in the intermediate layer
  • One in deep layer

Each tube well to be constructed shall be single-screened, targeting only its respective aquifer layer. This design approach is essential for generating reliable water-level and water-quality data and for monitoring aquifer-specific responses to abstraction and recharge processes.

To implement this initiative, KSSC-Nepal, Kapilvastu invites qualified and experienced national-level contractors/firms to submit bids for the Installation and construction of two sets of Tube Wells for groundwater monitoring with automatic water level monitoring censor in the above-mentioned areas. Thus, based on the specifications, requirements, terms, and conditions set forth in this Bid document, this Bid intends to enable KSSC-Nepal, Kapilvastu to identify qualified suppliers from the national Level) for the supply of the above-mentioned stationery items. The Bid describes our current understanding of our needs however these needs and specifications can be changed if KSSC-Nepal, Kapilvastu feels necessary.

1.2 Office Contact

Suppliers will submit any inquiries, responses of intention to bid, clarifications, or requests relating to this Bid by 26th April 2026 to the following email address: ksscnepal.procurement@gmail.com.

2. Instructions for intending to respond and submitting Bids

  1. The bidder must submit the bid document with the organization stamp and authorized signature on each page.
  2. The bidder must quote the price including VAT and any other services charge (if required) for all the goods otherwise the KSSC-Nepal, Kapilvastu reserves the right to reject the bid document.
  3. Bidder must fill the rate in the Bid form clearly both in figure and words including VAT and any other service charge (if required) and if there is any variation in figure and words, the rate written in words will be valid one.
  4. Sealed Bids must be submitted to KSSC-Nepal, Kapilvastu on or before 5:00 PM by 26th April 2026 and if Documents received after this deadline shall not be accepted.
  5. Bids shall be opened in the presence of Bidders' representatives (not compulsory) who choose to attend on 01:00 PM on 27th April 2026 at the office of KSSC-Nepal, Taulihawa, Kapilvastu. Any change in the date shall be notified.
  6. Bids must be valid for a period of at least 12 Months counting from the day of bid opening and Bidder shall deposit 5% bank guarantee of the total amount (including VAT and any other service charge (if charged) at the time of bid document submission. in the bank account of KSSC-Nepal, Kapilvastu before the conclusion of the procurement contract.
  7. All bidders’ responses and supporting documentation will become the property of KSSC-Nepal, Kapilvastu and will not be returned.
  8. KSSC-Nepal, Kapilvastu reserves the right to select any option or combination of options that best meets its business requirements and to hold discussions with any and all bidders at any time at its absolute discretion without informing other bidders.   
  9. This Bid document is provided for the exclusive use of interested suppliers. Copies of the documents obtained from other sources shall not be considered valid. 
  10. KSSC-Nepal, Kapilvastu will not be liable for any costs incurred by Suppliers in the preparation of any offers, documentation, or presentations relating to this Bid.
