Role Overview

To provide direct support to project activities, including field coordination, documentation, activity planning, reporting, and stakeholder engagement. The role ensures that all project interventions—trainings, meetings, field mobilization, monitoring, and reporting—are delivered as planned, with proper documentation and donor compliance.

Responsibilities

Activity Planning & Field Coordination

  • Support in designing, planning and scheduling of program activities (trainings, orientations,
  • meetings, exposure visits, field monitoring).
  • Prepare activity plans, checklists, and timelines together with program team.
  • Coordinate with beneficiaries, local governments, schools, or farmer groups to mobilize participants for program events.
  • Maintain field-level calendars and ensure all stakeholders are informed.

Program Activity Documentation

  • Document all project activities through reports, minutes, attendance sheets, photos, and field notes as per project need (English and Nepali).
  • Maintain structured and accurate activity files (digital + physical).
  • Prepare summary reports after each training, field visit, or community consultation.
  • Responsible for overall social welfare council’s project formalities
  • Compile monthly activity progress and share with Program Manager.

Monitoring, Data Collection & Follow-Up

  • Collect field data using project formats (training satisfaction, baseline/endline, farmer profiles, attendance).
  • Assist program team in monitoring ongoing activities, farmer groups, field demonstration plots, or enterprise progress.
  • Conduct follow-up visits to track implementation of trainings, distribution, or business plans.
  • Support photo documentation and evidence collection for donor reports.

Reporting & Compliance

  • Prepare activity-level reports, field visit reports, meeting minutes, and documentation packages.
  • Ensure donor compliance in documentation formats depending on project.
  • Maintain records required for audits, donor visits, and monitoring missions.
  • Support compilation of monthly, quarterly, and annual project progress reports.

Required Qualifications & Experience

Education

  • Master’s degree in Development Studies, Management, Social Sciences, or relevant field.

Experience

  • 1–2 years in project activity coordination, field implementation, or M&E support.
  • Experience working with communities, farmer groups, or local government is preferred.
  • Background in donor-funded projects is an asset.

Skills

  • Strong communication and field coordination skills.
  • Good documentation and reporting ability.
  • Proficiency in MS Office, spreadsheets, and mobile data collection tools.
  • Proficiency in both English and Nepali language (Speaking, Writing and Typing) - Must

8. Working Conditions

  • Frequent field visits to project areas and regional stations of the company.
