About SAMABIKAS Nepal

SAMABIKAS Nepal (literally meaning Equity and Development) is a rights-based organization established by gender and rights activists to support marginalized and excluded sections of society who have been affected by cultural and socio-economic inequalities, caste-based discrimination, and gender discrimination, intending to bring tangible and sustainable changes in their lives.SAMABIKAS Nepal is a non-partisan, non-discriminatory, and non-religious organization working towards the establishment of a just and equitable society.The organization was registered with the District Administration Office, Achham on 15 August 2004 (2061-04-31) with Registration No. 174. It is affiliated with the Social Welfare Council under Affiliation No. 13143 and registered with the Inland Revenue Office, Dhangadhi under PAN No. 301853589. The organization is regularly renewed in accordance with the prevailing rules and regulations of the Government of Nepal.

Invitation for Annual Quotation

SAMABIKAS Nepal invites annual quotations from eligible and registered firms/suppliers for the supply of various goods and services required for the organization's office and project activities for the fiscal year 2083/084 (2026/27).

Required Goods/Services

1. Stationery and office supplies
2. Hotel accommodation and catering services
3. Transportation and vehicle rental services

Documents Required to be Submitted

Interested firms/suppliers are required to submit the following documents along with their quotation:

1. Copy of the Firm/Company Registration Certificate
2. Copy of PAN/VAT Registration Certificate
3. Copy of the latest Tax Clearance Certificate
4. Copy of Industry/Commerce Registration Certificate, if applicable
5. Copy of the Citizenship Certificate of the proprietor/authorized person
6. Other relevant legal and registration documents, as applicable.

Supplier’s Declaration and Required Forms

1. All required forms and documents available through the link provided with this notice must be duly completed, signed, and stamped by the authorized representative of the supplier.
2. The supplier must complete and submit the Supplier’s Declaration along with the quotation and other required documents.
3. All information provided in the Supplier’s Declaration must be true, accurate, complete, and up to date. If any false, incomplete, misleading, or fraudulent information is found, SAMABIKAS Nepal reserves the right to reject or cancel the quotation.
4. All documents/forms available through the provided link, including the Quotation/Price Schedule, Supplier’s Declaration, and other required forms, must be duly completed and submitted.
5. Quotations with missing documents, incomplete forms, missing signatures/stamps, or documents not submitted in the prescribed format may be considered incomplete and may be rejected.
6. For email submission, all required documents must be scanned and submitted as a password-protected PDF/ZIP file. The password must be provided separately through the method instructed by SAMABIKAS Nepal.
7. For hard-copy submission, all required documents must be printed, duly signed and stamped, and submitted in a sealed envelope to the SAMABIKAS Nepal office, Sanfebagar, Achham.
8. SAMABIKAS Nepal reserves the right to verify any or all information and supporting documents submitted by the supplier. Suppliers must provide additional clarification or supporting documents if requested by the organization.

Priority / Selection Criteria

Preference will be given to suppliers who can provide the required quality of goods or services at a competitive/lowest reasonable price and ensure delivery or service within the specified timeframe.

The selection may also consider the supplier's experience, quality, availability, delivery/service capacity, compliance with specifications, and other relevant factors.

Special Conditions

1. Quotations received after the deadline, quotations that do not meet the specified requirements, or quotations from suppliers who have previously been blacklisted for any reason will not be considered.
2. SAMABIKAS Nepal reserves the right to accept or reject the quotation for any item, either fully or partially, according to its requirements.
3. The organization reserves the right to accept a service provider's quotation either fully or partially, depending on the required goods/services.
4. The selected supplier must provide goods/services according to the agreed quality, specifications, price, and delivery/service schedule.
5. The submission of the lowest quotation does not automatically guarantee selection. SAMABIKAS Nepal will make the final decision based on its procurement procedures and requirements.

The completed quotation, Supplier’s Declaration, required forms, and supporting documents may be submitted by email to:

Option 2: Hard Copy Submission

The completed quotation, Supplier’s Declaration, required forms, and supporting documents may be submitted in a sealed envelope directly to:
