1. Tele Credit Control Agent

Accountabilities

Billing team

  • Liaise to prepare billing adjustments for processing by the billing team

Sales Team and Credit Control and Collection Supervisor

  • Keep the above informed of collection difficulties.

DHL customers

  • Interface with medium and small size customers to actively and aggressively solve credit and billing problems in a timely manner.
  • Retrieve invoices and/or airway bills on request and send to customers.
  • Ensure special billing requests by customers are met, e.g. costing, shipper reference, etc.
  • Spend at least 90% working time on collection calls.

Assistance in Collection related activities

  • Engage in collection of receivables via phone.
  • Maximize collection of payment from all customers in a timely and professional manner.
  • Research unallocated cash for posting to debtor ledger.
  • Maintain efficient records of collection activities.
  • Monitor credit accounts and report delinquent customers to Credit Control Supervisor for review and action.
  • Assist in the dispatch of invoices, airway bills, reminders and finance charge letters.
  • Co-ordinate with related billing & sales parties to resolve billing discrepancies within 24 hours.
  • Monitor credit limit of accounts to ensure proper action is taken

 People Management 

  • Incumbent has no direct reports and authority over country line and functional personnel. Nevertheless he/she must be able to demonstrate ability to influence decisions/actions through provision of value-added inputs into the organisation’s business processes.

Required Skills

  • Numerical skills.
  • Credit analysis and debt collection skills.
  • Software skills (Word, Excel, PowerPoint, etc.).
  • Communication skills (English and local language), spoken and written. Knowledge of Mandarin is advantageous
  • Telephone handling skills

Expected years of experience

  • 2 years experience in medium to large company in credit control.

Educational Qualifications

  • Intermediate or equivalent

2.  Account Payable Officer 

Accountabilities

  • Work with cross functional team on payment related matters such as medical benefits payment to employees, GeT issues,etc.
  • Attend to employees' queries related to reimbursement or payment and process medical insurance for employees.
  • Update and maintain vendor information in  a system and validate PO invoices before arranging for payment.
  • Input procurement tasks in GeT and coordinate with Shared Service on invoice booking.
  • Handle tax invoice and validate before arrange for payment. 

Requirements Qualification & Experience

  • Degree holder in accounting
  • Minimum of 1 year or relevant experience

3. Field Sales Executive

Accountabilities

Customers

  • Manage a portfolio of customers and potential customers via personal sales visits, using face to face contact to provide a ‘personal service’.
  • Act as the customers’ main point of contact, by liaising closely with the relevant departments within DHL to ensure that their queries, problems or issues are dealt with appropriately.
  • Work as a customer contact with the user departments in account customers.

Head of Commercial

  • Produce information for management necessary to evaluate performance vs. key performance indicators

Country Sales Function

  • Ensure co-operation with other members of the sales team and throughout the sales force.

Country Office (other departments, Couriers, Customer Service Agents, Customer Accounting Department, Finance staff)

  • Ensure that all customer issues relating to customer service, service recovery and credit control are coordinated and managed through the relevant DHL departments.
  • Meet regularly with the Marketing and Sales management to evaluate the personal sales plan/strategy so as to ensure that the required revenue and shipment results can be achieved.
  • Develop a working relationship with the relevant support departments e.g. Operations, to ensure they are kept up to date with all issues relating to customers. 

Sales Pipeline Management and Development

  • Develop an Annual customer call cycle (Planned and Unplanned Maintenance) to secure committed orders with new and existing customers and gain any competitor held businesses to ensure that individual agreed targets are achieved.

Profit Margins Assurance

  • Adhere to regional standard tariff and discount guidelines.

Sales Deployment

  • Formulate a personal sales plan that incorporates initiatives for identifying and gaining new business prospects and maximises growth within the existing customer base.
  • Build a strong client relationship to ensure that the account performs and grows to its maximum potential, reducing attrition rate and minimizing opportunities for competitors to gain business.
  • Conversion of qualified leads into customers (First Time Buyers) and develop and penetrate existing accounts (Retention and Development).
  • Continually develop knowledge of DHL’s products/services and general commercial awareness in order to provide the best possible solutions to the customers.
  • Ensure all customer agreements are cost sensitive so as to ensure a suggested minimum pricing tariff is set and adhered to.  Any deviations from this tariff require management’s agreement and justifications.

Information Management

  • Control all documentation and data relating to customer visits, agreements and terms of reference to ensure that customer information is maintained accurately in the customer database.
  • Analyze and monitor customer data to measure success and identify fluctuations/trends so as to decide on the relevant actions to be taken.

People - Management

  • Incumbent has no direct reports and authority over country line and functional personnel. Nevertheless he/she must be able to demonstrate ability to influence decisions/actions. 

Expected years of experience

  • 2 years experience in Sales and could be fresher also if the candidate is dynamic and has the potential or characteristic of a sales person.

Educational Qualifications

  • Bachelor’s Degree level 

4. Telesales Executive

Accountabilities

Head of Commercial

  • Undertake any projects/duties as assigned by the Head of Commercial Customers
  • Act as Tele Sales customers’ main contact for DHL, responding and satisfying their sales and post sales requirements. 
  • Build a strong client relationship to ensure that the account performs and grows to its maximum potential, reducing attrition rate and minimizing opportunities for competitors to gain business.
  • Manage a portfolio of customers via telephone: Make telephone calls to existing customers on a regular pre-defined call cycle to secure new business and to ensure that individual agreed targets are achieved.
  • Provide customer oriented service at all times relating to specific sales issues.

Country Sales Function (Field Sales Group, Telemarketing Group, Telesales Group, Marketing, CS Groups)

  • Liase closely with Sales Channels and other departments within DHL to ensure that a full cost effective service is maintained and that target for the area is achieved.
  • Ensure co-operation with other members of the sales team and throughout the sales force.

Telesales Process Deployment

  • Formulate a personal sales plan that incorporates initiatives for identifying and gaining new business prospects and maximizes growth within the existing client base so that the required personal sales results are achieved.
  • Manage the revenue growth through Up selling and Cross selling tactics to exceed this budget through calls
  • Combine sales skills with DHL product/service knowledge and convert the maximum possible prospect leads into accounts, emphasizing those with maximum revenue potential, in order to increase the size and quality of DHL’s account holders.
  • Continually develop knowledge of DHL’s services and general commercial awareness in order to provide the best possible standard of customer service and maximise the department’s contribution to the sales function.

Alignment to Regional Standards

  • Adhere to regional standards on tariif and discount guidelines.

Customer Support Services provision

  • Open new accounts and ensure they trade profitably.
  • Ensure all customer agreements are cost sensitive to ensure a suggested minimum pricing tariff is set and adhered too. Any deviation from this tariff requires management agreement and justification.

Customer Information Maintenance & Reporting

  • Complete daily reports to measure individual and department effectiveness and provide figures showing weekly productivity of the department.
  • Ensure that customer information is maintained accurately on the customer database.
