Details / requirements:

1.    Supporting  tasks  for  the  CEO  including  managing  calendar  of  appointments  and  composing and preparing correspondence that is sometimes confidential.    

2.    Arranging  detailed  travel  plans,  itineraries,  visas,  travel  insurance  and  completing  travel expense reports.  

3.    Assist CEO to compile and publish official reports. 

4.    Take calls and messages and inform timely 

5.    Prepare NEA Invoices for signature by CEO or person assigned by the CEO 

6.    Responsible  for  timely  organizing,  informing  and  taking  minutes  of  the  weekly/fortnightly internal staff meeting. 

7.    Responsible for the overall upkeep of the office facilities, premises and office equipment.  

8.    Responsible  for  managing  office  services  by  ensuring  office  operations  and  procedures  are organized, correspondences are controlled, and the supplies are timely.  

9.    Responsible for preparing admin budget for the office and timely submit for Annual Office Budget, planning the expenditures, analyzing variances and carrying out necessary corrections that may arise. 

10.  Manage  contract  and  price  negotiations  with  suppliers/vendors  and  service  providers  and ensure that all items are invoiced and paid on time by the Accounts Department. 

11.  Supervise  regular,  preventive  and  emergency  maintenance  of  vehicles;  maintain  and  check vehicle logs and registrations; and manage vehicle arrangements.

12.   Ensure timely payments of Utility bills and renewal of various licenses and services 

13.  Develop and maintain a filing system and ensure the filing are all maintained and current.  

14.  Implement  office  administration  policies  and  procedures  and  oversee  adherence  to  office policies and procedures. 

15.  Liaison  with Plant  Staff  and  Consultants  as  required  and  extend  support  to  their functions wherever possible.  

16.  Custodian  for  all  electronic  data  and  physical  files  of  the  company  and  also  ensure  security, integrity and confidentiality of data 

17.  Maintain office IT facilities and functions 

18.  Partner with HR to maintain office policies as necessary. 

19.  Maintain  Daily  attendance  and  leave  records  of  all  employees  and  ensure  to  update  the employees on leave status from time to time. 

20.  Support in employee hiring processes. 

21.  Maintain property and Medical Insurance of the office and employees 

22.  Participate actively in the planning and execution of company events 

23.  Maintain a safe and secure working environment 

24.  Allocate tasks and assignments to subordinates and monitor their performance
