The Pahar Trust Nepal (PTN), based in Pokhara, a well reputed organization in the areas of education and health is looking for dynamic & enthusiastic candidate for the following position.

1.Designation : Admin Assistant

Level: 4-5 PTN level/grade . Salary and benefits: As per PTN Personnel Administration and financial policy.

Qualifications/Experience: Intermediate in management/account/finance/Arts. Bachelor' degree preferred. Minimum of 3 years relevant work experience in NGO/INGO.

Responsible to: Pahar Trust Nepal (PTN) Chief Executive Officer (CEO)

Summary of position:

The PTN administrative assistant will work with PTN team lead by PTN board.  The Administrative assistant works under the direct line management of CEO. The administrative assistant is the responsible to coordinate with the PTN board members and staff, government agencies and concerned stakeholders. The administrative assistant facilitate and coordinate operations such as employee training, office equipment and supplies, maintenance schedules and supplies, building security, and safety, keep all record in computer, update register and file management , inventory management at office. Be participant to preparing of Annual work plan of action and reporting. Additionally be responsible for daily administrative works.

Administrative duties:

  • Entire Admin matters i.e. checking daily staff working hours, leave/sick /absent records
  • Check letters, circulate / reply to related person as necessary
  • Check staffs attendance register daily and prepare monthly attendance, leave, field record balance sheet end of the each month and forward to Finance Officer with consulting CEO.
  • Obtain/Arrange for Quotations and agreement with suppliers in consultation with CEO
  • Provide security of staffs and office in case of fire action, guard.
  • Regularly checking & updating computer/ laptop/internet/phone, emails & website.
  • Responsible for office inventory, file management and data entry into computer.
  • Additionally be responsible to complete all computer updates and maintenance on regular basis.
  • Ensure water, electricity, telephone, internet bills are paid in time.
  • Maintain staff personal file
  • Keeps and verify record of movement of PTN staffs.
  • Proceed for the annual accidental insurance of PTN mason/workers and staff.
  • Annual renew of NGO in related offices.

Documentation and reporting duties

  • Maintain and update PTN databases and documentation PTN works.
  • Prepare reports and presentations with statistical data, as assigned
  • Help technical/project section documentation (typing report/stores order list/letters both in Nepali & English),

Personal abilities : Admin Assistant must:

  • be able to use a wide variety of software, including Word , Excel, Power point ; maintain confidentiality at all times;work with courtesy, sensitivity, tact and flexibility;participate actively in supervisory and appraisal processes;participate in appropriate professional development; andbe aware of and act in accordance with all relevant policies, including the PTN childsafeguarding policy.
