Position title: Volunteer Management Advisor

City, country: Baluwatar, Kathmandu

Organization and brief description:

CECI Nepal has the strategy of implementing development projects in partnership with Nepali Non-Government Organizations (NGOs) and Community Based Organizations (CBOs) in order to enhance their technical and managerial competence. CECI also mobilizes international and national volunteers with the financial support of Global Affairs Canada (GAC) and AusAID/Austraining to support these development initiatives. These volunteers are mostly placed in CBOs considering the significant contribution being made by the Civil Society in the socioeconomic development of Nepal and to further enhance their institutional capacity. In addition, volunteers are also placed in government agencies to support their planning and programming functions. CECI works in Nepal under the auspices of a Memorandum of Understanding (MOU) initially signed with the Social Welfare Council in 1989 and renewed subsequently.

Length of posting: 10 months

Context justifying the creation of the volunteer position/description of the position:

CECI Nepal has been one of the initial organizations to introduce the volunteer cooperation programs in Nepal. It has more than 2 decades of experience working in the field of volunteer management. The volunteer management module has not been revised for a long time. Socioeconomic and political situation of Nepal has changed a lot in last decade. Partner’s need and working environment in the partner organization has also been changed. Therefor Uniterra feels the need to have a national volunteer to work with Canadian volunteer to make all the mandates successful.

Expected results:

Improve the performance of volunteers and partners’ competencies in human resources management.

Principal responsibilities:

  • welcoming, accompanying and installing  volunteers at their place of work with partners (in the capital or in the regions);
  • ensuring the well-being of serving volunteers, i.e., ensuring appropriate living conditions, volunteers’ physical and mental well-being, and their cultural integration;
  • ensuring, in close collaboration with the Sector Program Officer, that rules and measures concerning volunteers’ security are applied and respected by all stakeholders;
  • ensuring orientation for newly arrived volunteers;
  • in collaboration with the sectoral programming advisor and partners, contributing to the elaboration and drafting of volunteer mandates, while taking into account the specific aspects of the position;
  • contributing to developing necessary competencies among volunteers enabling them to support partners;
  • ensuring regular monitoring (in accordance with key events) of volunteers’ work throughout the duration of their mandates;
  • ensuring that administrative instructions are applied in accordance with the Standards and Policies Manual (visas, house rental procedures, hiring of domestic employees, recommended neighbourhoods, access to utilities, costs, required reports, insurance procedures, living allowances, cash advances, etc.); and
  • participating in program coordination meetings
  • Supporting in translation from Nepali to English and vice versa during trainings/data collection/interviews/group discussions
  • Ensure equal participation of men and women in all the work
  • Provide all the reports required by Uniterra and partner organizations

DESCRIPTION OF IDEAL CANDIDATE

Professional skills:

  • Ability to provide training and support/coaching
  • Ability to resolve conflicts and to demonstrate empathy
  • Experience in volunteer management/ or with North American is an asset
  • Experience with training / coaching in English
  • Experience as a volunteer

Personal aptitudes, including language requirements as applicable:

  • Ability to work in multicultural teams with flexibility, creativity and innovatively.
  • The following aptitudes: working independently, initiative and professionalism
  • Tact and good judgement
  • Ability to work as a part of a team

Education and professional experience:

  • University Degree in human resource management or relevant work experience

Working conditions

The volunteer will be based at CECI office located at Baluwatar, Kathmandu. The office timing is from 8:30 am – until 04:30 pm, from Monday through Friday. For the evaluation of existing practice, volunteer will be visiting the partner organizations in regular basis. The volunteer will be provided with the office space and internet is available in the office. It is highly recommended that the volunteer to bring his/her own laptop.
