JOB DESCRIPTION 

Main Tasks and Responsibilities

Front Desk:

  • Ensure office is tidy and clean
  • Responsible for handling all officials incoming and outgoing calls
  • Schedule appointments, maintaining & updating calendars, reminding respective personnel for the appointments
  • Proactively initiate, develop and maintain effective communication with team members
  • Maintain goods in/ out register and visitor log record. 
  • Travel – Booking of air ticket, vehicle, Hotel, Workshop arrangement as approved by budget holder.

General Administration:

  • Keep updated staffs records and files.
  • Work as security focal point of OPM Nepal – Duty of Care and make sure that all safety/ security equipment are in proper condition.
  • Assisting country Management on new staff hiring. – Vacancy Advertisement posting, Interview arrangement
  • Provide induction to new staff/ consultants on general office administration and logistic arrangement for Laptop set-up, ID card, Insurance coverage, account opening for Social Security and bank 
  • Assets Management – Fixed Assets Record Update, Annual Physical Verification, Disposal, Insurance Coverage 
  • Other admin tasks as assigned by line manager and Country Management.

Procurement Function:

  • Support in procurement process – Vendor listing, issue of purchase order, good receipt notes and maintain procurement record.
  • Prepare necessary log for supplier’s invoice and payment.
  • Preparing contracts for Suppliers.
  • Any other task assigned by Line Manager

Vehicle Management:

  • Ensure that office vehicles are in good condition
  • Maintain the log record of office vehicles
  • Analysis of vehicle mileage & maintenance with the standard 
  • Timely servicing, maintenance and renewal of vehicle insurance, road tax
  • Timely reporting and insurance claims in case of vehicle accident.
  • Prepare monthly vehicle report and comment on mileage, maintenance cost and its uses
  • Any other task assigned by Line Manager

Qualification

  • Minimum bachelor’s degree holder having at least three years of working experience in the field of administration.
