Duty Station: Kathmandu

Classification: General Service Staff, Grade G5

Type of Appointment: Special Short Term 3 months with possibility of extension

Context: 

Under the overall supervision of the HRRP Project Coordinator and direct supervision of Information Management Officer, the incumbent will support IOM Nepal’s earthquake recovery and reconstructions coordination activities in housing sector at the district level. In particular, he/she will:

Core Functions / Responsibilities: 

  • Produce meeting minutes, draft narrative updates, reports, summary and analysis on the progress of HRRP team and partners as outlined in the HRRP agreements with relevant stakeholders and as required by HRRP national coordinator and senior information manager.  
  • Ensure linkages with reporting officers of all HRRP partners, particularly national actors, and its equivalents at national and district level.
  • Assist the HRRP Coordinator with the development of the first draft of periodical donor and IOM’s internal and external reporting for review.
  • Promote use of and training on the use of reporting tools and other information management tools among HRRP partners and other stakeholders.
  • Coordinate with all District IM/Reporting Assistants, to support the collation and cross-checking of reporting data including meeting minutes and narrative reports at the national level. 
  • Support the implementation of HRRP coordinated needs assessment in partnership with government authorities and HRRP agencies.
  • Organise data reported from HRRP partners in order to facilitate narrative analysis to be undertaken by either the HRRP national Coordinator or the HRRP Senior Information Manager.
  • Support the HRRP Information Management Officer in the development, review and revision of reporting tools and formats, and the presentation and where necessary training of HRRP teams and partners’ reporting focal points on the use of such revised tools and formats.
  • Act as focal point for HRRP partners’ for receiving partner inputs on reporting tools and format development.
  • Ensure that HRRP reporting tools and formats are consistent with HRRP and relevant users.
  • Support the HRRP Information Management Officer and the Information Management Assistant in uploading reports onto the HRRP website.
  • Assist in workshops and trainings for HRRP staff and partners concerning reporting-related issues.
  • Coordinate within HRRP team, consolidating all updates and progress from field team, technical team, IM team on a regular base. 
  • Timely and regularly update to the Information Management Officer on any gaps and issues regarding to reporting quality and gaps. 
  • Provide information outputs in the local language wherever feasible.
  • Media monitoring on policy update, guidance update, relevant housing reconstruction news through various information source (media, government sites etc.), providing the summary of monitoring report regularly and share with HRRP team. 
  • Inform HRRP Information Management Officer on news/policy to be uploaded to website and to be shared in a wider group. Prepare brief summary on the newsfeed as required by Information Management Officer.
  • Liaison with IOM Public Information Officer, ensure all policy and guidance align with official government statement.  
  • Any other tasks as assigned.

Required Qualifications and Experience:

Education

  • Completed Bachelor’s degree from an accredited academic institution in Social or Management Sciences with 4 years’ work experience on related field.
  • Completed High School Degree with 6 years’ work experience in related field.

Experience 

  • Experience working with data reporting and database administration. 
  • Experience writing summary reports, meeting minutes;
  • Previous experience in humanitarian project management, Cluster coordination, and the management of reporting in a Cluster context

Languages:

  • Fluency in English, Nepali is required.
