 Reporting & Communications Coordinator

PHASE Nepal is a not for profit NGO established in 2006 by a group of development professionals dedicated to supporting poor communities in remote areas of Nepal. For the last 10 years PHASE Nepal has been implementing Health, Education and Livelihoods improvement programmes in Humla, Bajura, Mugu, Gorkha, Sindhupalchok and Kavrepalanchok districts.  Currently, PHASE Nepal's projects are funded by PHASE Worldwide UK, PHASE Austria, City of Vienna-Austria, NTTI USA, Lindsay Cooper Singapore, Hrothgar Investment Limited Singapore, Global Giving USA, Global Giving UK, Innocent Foundation UK, Guernsey Foundation UK, DFID UK through PHASE Worldwide, Big Lottery Fund UK through PHASE Worldwide, Austrian Development Agency through Eco Himal and other individuals and organizations from different countries. PHASE Nepal's earthquake relief projects are funded by DiakonieKatastrophenhilfe (DKH) Germany, Caritas Germany, Caritas Austria, People in Need, UNHCR and HDFA in addition to regular donors. Currently PHASE has over 150 staff working for different projects. 

To report and communicate with above donors and other prospective donors, PHASE Nepal is currently in need of the following staff member.

Position: Reporting & Communications Coordinator

Required Number: 1

Duty Station: PHASE Office, Bhaktapur

Salary Scale: NRS 41,400 per month (basic starting salary scale) plus 10% provident fund after three months of probation period, one month’s salary as festival bonus after working for a year, plus medical facility and insurance. Lunch and tea are provided in the office free of cost. 

The Reporting & Communications Coordinator will be reporting to the Programme Manager and is responsible for overall Reporting & Communications of PHASE Nepal in coordination with and support from managers and other relevant staff. 

Required Experience and Qualification: The candidate should have Master's Degree in communication, Social Science or any relevant field with 2 years’ experience or Bachelor’s degree with 5 years’ experience in report writing and Communication in I/NGO with demonstrable record of accomplishment of best performance. Must have excellent English and Nepali language, IT and reporting skills. We encourage people to apply only with relevant experiences.

JOB DESCRIPTION

Reporting & Communications Coordinator:

  • Donor Reporting, Relationships and External Profile

PURPOSE

Support and build capacity for PHASE Nepal Management team to ensure that all donors to PHASE Nepal received high quality, timely and clear information about the work they are funding.  Ensure that PHASE Nepal have the resource readily available to be successful in new funding opportunities and are promoting the excellent work at field level. 

OBJECTIVES

  • To ensure timely reporting and communication on donor contracts
  • To lead on building an institutional real-time knowledge of donors and various funding opportunities relevant to the needs of the programme
  • To support the management team to develop funding strategies for the various thematic and strategic areas requiring funding within the programme 

SPECIFIC TASKS

1. Social Media, website and emails

  • Update and grow PHASE Nepal’s Social Media (2 Facebook posts per week – explore twitter)
  • Periodic review of the PHASE Nepal website and provide a list of recommendations to the PHASE Nepal board. 
  • Monitor the engagement with online communications.
  • Support with the @phasenepal.org email addresses across the organisation and PHASE Nepal.
  • Prepare and send the bi-annual newsletter to partners using mail chimp
  • Maintain a database of supporters.

2. Global Giving

  • Prepare and upload reports to Global Giving – there are 3 Global Giving projects which PHASE Nepal look after and funding come direct, reports are due every 3 months and are usually in the form of a story / case studies. Thank yous need to be sent weekly.
  • Maintain a relationship with Global Giving and respond to opportunities available.

3. Donor reporting

  • Maintain a database of dates when donor reports are due and ensure the senior management team are aware of these
  • Maintain a list of M&E visits due and work with the management team to ensure these are carried out
  • Seek support from the management team to prepare and submit donor reports
  • Prepare a set of case studies on a quarterly basis to support donor reporting
  • Maintain a database of photos hosted in cloud software to support donor reporting and project bids
  • To advise and when necessary support managers on donor guidelines and contractual obligations, particularly on reporting, co-funding, procurement and visibility requirements (e.g. DFID, BLF, ADA/EcoHimal visibility statement).
  • Build the capacity of other staff in report writing, proposal writing, project reporting and profile documentation. 

4. Donor Family (PHASE WW, NTTI, PHASE A)

  • Build the relationship with the donor family to ensure all parties are up to date on PHASE work (for example through a monthly skype meeting)
  • Ensure that the PHASE donor family know what the current funding need is and have information they need to make bids 

5. Funding Pipeline

  • Record submitted bids to maintain a clear picture of the funding pipeline
  • Work with the management team to ensure co-funding gaps are closed
  • Build knowledge of donors and various funding opportunities relevant to the needs of the programme

6. Policies and other documentation

  • Help with research for and development of organisational policies required for PHASE Nepal 

7. Profile

  • Support with running the PHASE Nepal promotional activities and networking events
  • Help prepare promotional materials (leaflets, calendars, etc) as needed
