One of the Nepal’s leading Manifacturing Company invites application from the competent, committed, self-motivated and enthusiastic Nepalese candidates in the capacity of Receptionist cum Secretary.

Position: Receptionist cum Secretary 

Competences:

  • Qualification: Bachelor’s Degree in management with 1 year experience in the field of reception and secretary and having pleasant personality.
  • Skill: Good telephone skills, excellent in communication, ability to build good networking, customer focus and can handles petty cash,
  • Knowledge: Sound knowledge about MS office and customer service.
  • Professional and having integrity.

Job Relationship:

  • Accountable to: HR & Administration Manager and Managing Director
  • Supervise to: Admin Assistant
  • Coordination with: All Department of the Company
  • Documents to be maintained: letters (incoming and outgoing), log book (visitor, office staff, generator and vehicle), inventory records of stationary and canteen etc.
  • Reporting frequencies: Daily and Monthly
  • Work station: Administration Department – Corporate Office, Kathmandu
  • Territory coverage: Administration Department – Corporate Office,

Job Responsibility:

Primary Role:    

  • Answering incoming calls & email and forwarding phone calls, Screening phone calls
  • Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries about a company and its products or services,
  • Directs visitors to their destinations by maintaining employee and department directories; giving instructions.
  • Take care of guest and direct office assistant to serve coffee/tea/cold drinks to guests
  • Planning and scheduling meetings, appointments and provide updates about it to concern staff/departments.
  • Arranging couriers and sorting and distributing post/mail,
  • Perform other office work like data entry, scanning, printing, photo copying  and faxing as and when required. 
  • Proper filing and records keeping of official documents like incoming/outgoing letters, log books of visitor, office staff, generator and vehicle, inventory records of stationary and canteen etc.
  • Keeping the reception/lobby area and meeting room tidy.
  • Organizing travel arrangements for staff/guest (includes flights reservations and booking hotels etc)
  • To receive bills and submitting to accounts for timely payments to the vendor, travel agencies, hotels etc.
  • Maintains security by following procedures; monitoring logbook; issuing visitor badges.
  • knowing which important meetings will be taking place to co-coordinating the deliveries
  • Letter typing in both English and Nepali.

Secondary Role:

  • To assist as a secretary to MD
  • Issuing and receiving of cheques and patty cash management.
  • Look after responsibility of Officer – HR & Administration during his/her absence.
