Position Title: Medical Reporting and Health Assessment Assistant

Position Required: 

Duty Station: Damak, Nepal 

Classification: General Service Staff, Grade 4

Type of Appointment: Special Short Term 9 months with possibility of extension

Context: 

Under the direct supervision of the Health Assessment Processing Officer and overall supervision of the International Migration Health Physician (IMHP) Nepal, for administrative matters, the successful candidate will have the following duties and responsibilities:

Core Functions / Responsibilities: 

  • Maintain daily statistics related to health assessments, pre-departure medical screening and pre-embarkation check.
  • Act as a focal person for doing QC of HAP statistics as requested by MHI Manila, Vaccination report, Departure Health Check and other statistical report as required.
  • Schedule the refugees and immigrants for medical screening, reassessment, pre-embarkation check-up (PEC) and maintain appointment schedule. Prepare pre-screening documents in coordination with other MHD departments and send Hold and No show Alert to relevant MHD staffs or department every day.
  • Prepare and share the list of refugees underwent medical screening and PEC under Resettlement programs with Finance department in Kathmandu on a monthly basis. 
  • Prepare and share mail-out list, relevant medical forms and documents with RSC and other relevant department as required.
  • Coordinate with RSC and update the status of cases in Mimosa, provide updated medical forms and relevant information which are Case lock/unlock, unmatched Biographic Details, newly split case from Parent Case, etc.
  • Retrieve and collate travel requirements from Mimosa according to the name list from Kathmandu operations department and sharing MEDIF with OPS department as required. 
  • Prepare and submit monthly list of refugees who underwent MMR and Varicella vaccination for all Refugee resettlement program.
  • Prepare Daily UKTB Screening Report for Damak and Kathmandu as well as prepare and maintain monthly UKTB Report. Update UKTB Global Software as per request from Health Data Analyst in Manila. Produce regular medical statistical reports for IOM Nepal, Headquarters (Manila and Geneva) and resettlement governments as required.
  • Maintain weekly statistics for medical activities of Refugees and Immigrants and report to IMHP. Maintain monthly data for all activities of MHD and report to IMHP upon request.
  • Responsible for gradual shifting of all reports in MS Excel file to MS Access database for better and accurate reporting propose. 
  • Update MiMOSA with different information upon request from RSC Medical, like closing cases, activating cases and updating Hard Cross Reference (HCR) in MiMOSA. Inform RSC with status of different cases as per their request.
  • Prepare Monthly HMIS report to be submitted to District Public Health Officer (DPHO). Maintain all data required for the report.
  • Assist and support immigrants/self-payer unit at MHD Damak; ensure client satisfaction by greeting an immigrant in a professional manner, answering the phones, emailing and addressing client’s queries.
  • Coordinate with other IOM units e.g. Operation, HR and Finance, Procurement& Logistics when the relevant activity is indicated. 
  • Assist in assigning, scheduling and making appointment of MHD clients (refugees and immigrants) through Mimosa and Laboratory database to come undertake health assessment (Initial medical examination (IME), sputum collection, follow up related activities and referral), PDMS and PEC. 
  • Assist Medical team for medical screening process as assigned by supervisor.
  • Perform such other duties as may be assigned.

Required Qualifications and Experience

Education

  • Bachelor’s degree from an accredited academic institution in Commerce or Business Administration with two years’ work experience on related field;Or
  • Completed High School Degree with four years’ relevant work experience;

Experience 

  • At least three years of working experience with in-depth use of MS office applications. Data collection and manipulation. 
  • Advanced computer skills in Microsoft Office, especially Excel. 
  • Attention to detail, persistence and ability to organize paperwork in a methodical way

Languages

Fluency in English, Nepali is required.
