(VA No. WFP CO/Logistics/2010-E-01) Deadline for applications : 1 April 2010 External Vacancy Post Title : LOGISTICS ASSISTANT Grade : Equivalent GS-4 Duty Station : Kathmandu Contract Type : Service Contract Required no : One Duration : Until end of 31 December GENERAL DESCRIPTION: In accordance with WEP policies, procedures and guidelines, the incumbent will enter data on* commodity movement in a WFP database system and produce variety of reports as required. Under the direct supervision of the Sr. Logistics assistant the incumbent will be responsible for the following duties: • In accordance with established procedures, thoroughly check the information recorded in hard-copy documents for clarity and accuracy; • Enter data from CTS documents into the office commodity tracking database system; • Prepare periodic reports on warehouse stocks, dispatches, receipts etc; • Maintain filing systems and archives for swift and easy retrieval of information; • Analyze data on food movement from WFP's information systems and report any discrepancies or irregularities to the data manager; • Monitor and report on food losses and damages; • Conduct periodically data reconciliation on food movement; • Track and monitor food loans and borrowings between different projects; • Ensure that all computer hardware resources and other materials are available and maintained for the unit; • Replicate data to and from CO to WFP Head Quarter and WFP sub-offices; • Travel occasionally within the region when required to do so by the organization; • Coordinate with WFP cooperating partner's logistics staff and storekeepers;' • Share knowledge and experience with other staff members and work to foster a team spirit; • Perform any other related duties requested by the supervisors. QUALIFICATIONS: ESSENTIAL: EDUCATION: Higher secondary school education or equivalent. LANGUAGE KNOWLEDGE: Very good knowledge of written and spoken English. KNOWLEDGE: Experience utilizing computers, including word processing, spreadsheet and other database software packages. DESIRABLE: Knowledge of Oracle or any relational database management system. EXPERIENCE: At least three years of experience as data assistant or equivalent in a national or international organization, NGOs or company. Good knowledge of Micro Soft Office. COMPETENCIES: • Ability to review a variety of data, identify and adjust data discrepancies. • Identify and resolve operational problems. • Ability to communicate moderately complex matters clearly and concisely. • Ability to perform detailed work, work of a confidential nature and/or to handle a large volume of work possibly under time constraints. • Ability to deal patiently and tactfully with people of different national and cultural backgrounds.
