DAI seeks a Front Office Associates for the USAID-funded Program for Aquatic Natural Resources Improvement (PANI).The Front Office Associates will provide secretarial/ administrative/ logistic /procurement support activities,receive office phone calls and sort and distribute mail and packages,assist in making necessary travel & accommodation arrangements for meetings, trainings or program events held at office and outside, logistic support for workshop/seminars, office stationary management in coordination with operations and procurement team.

Applicants must have Bachelor’s Degree in Business Administration, Human Resources or equivalent with relevant experience 1-2 years of progressively responsible administrative and logistics experience.

POSITION: Front Office Associate

LEVEL OF EFFORT: LTTA, 260 days per year

PERIOD OF PERFORMANCE: One year renewal contract

BASE OF OPERATIONS: Kathmandu, with travel to Field Office

Background:

The Program for Aquatic Natural Resources Improvement (PANI) is a 5 year, $25 million USAID-funded Project in Nepal. Water is the single most important natural resource underpinning Nepal’s economy and livelihoods. The sustainable management of water resources in Nepal depends on addressing climate change and protecting healthy, biodiverse ecosystems. PANI aims to enhance Nepal’s ability to manage water resources for multiple uses and users through climate change adaptation and the conservation of freshwater biodiversity. PANI focuses at the watershed, basin, and national scales and the project has approximately $5 million in grants and activity procurements. This goal will be reached by meeting the following objectives: 

  • Reduce threats to freshwater biodiversity in the Karnali, Mahakali, and Rapti river basins.
  • Increase the ability of targeted human and ecological communities to adapt to the adverse impacts of climate change through improved water management.

This will be accomplished through four intermediate results (IRs, each with several sub-IRs), and supporting activities, as defined in Section C, Statement of Work (SOW) of the PANI Contract, which provides the framework and overall guidance for all PANI team members.

Responsibilities

The Front office Associate will provide all the administrative support in the organization and will deliver all the job responsibilities with high quality and in a timely manner. 

Essential Duties:  

  • Provide secretarial/ administrative/ logistic/ procurement support activities;
  • Maintain the office entrance area and ensure professional reception of guests and vendors;
  • Receive and log office phone calls and sort and distribute  mails and packages;
  • Assist with making necessary travel and accommodation arrangements for meetings, trainings or program events held at office and outside;
  • Maintain office files and assist team with filing, organizing, photocopying and scanning or project documents. Collect, sort and distribute documents, as requested;
  • Logistic support for workshop/seminars, office stationary management in coordination with operations and procurement team;
  • Responsible for distribution, management and maintenance of all project inventory, including computer equipment, office furniture and office supplies;
  • Support procurement efforts for office and travel related expenses;
  • Support HR and recruitment process as needed;
  • Manage the vehicle log book and fuel consumption record in coordination with the drivers;
  • Secretarial support and arrange appointments when required;
  • Take the responsibility of petty cash custodian and manage the petty cash as per the organization’s policy.
  • Assist the finance department to verify all the bills and supporting documents for payment process;
  • Other duties as assigned.

Level of Effort/Timeline:

The Front Office Associate position is based in Kathmandu, and occasionally requires travel to field office Nepalgunj. The level of effort is 260 days per year. 

Supervision:

The Front office Associate will work under the direct supervision of the Human Resource Officer and in close coordination with the Operations and Procurement team. The Front Office Associate will supervise office support staffs and drivers.

Qualification:

  • Bachelors’ degree in Accounting, Finance, Business Administration, Human Resources or equivalent;  
  • 1-2 years of progressively responsible administrative and logistics experience;
  • Proficient with Microsoft Office Packages;
  • Strong communication skills both written and verbal;
  • Ability to be resourceful and proactive in dealing with issues that may arise;
  • Ability to perform high-level duties with a minimum supervision. 
  • Fluency in English required.
