Terre des hommes foundation (Tdh) Lausanne is a child protection focused Swiss INGO that has been active in Nepal for 30 years. Tdh Nepal delegation is seeking qualified and dynamic Nepali residents for the following position. 

Position Title:  Finance Assistant 

Reporting to: Finance and Admin Manager    

Work Station: Kathmandu 

Main duties and responsibilities:

GENERAL:

  • To assist in all aspects of financial matter; including filling and documentation  
  • To ensure that Staff Regulations and Financial Rules and Regulation (FRR) are adhered to
  • To handle cash (petty cash) properly and cash management on daily basis 
  • To provide supports to check, scrutinize and update partners files and documents as required
  • To perform other duties with sensitive and confidential nature

SPECIFIC DUTIES AND RESPONSIBILITIES:

  • Handle petty cash for daily operations of the office & checking petty cash level 
  • Prepare cash inventory once a month and update the Cash Book every day and keep inform to line manager
  • Assist in posting/handling the Cash and Bank transactions into SAGA (accounting software) on daily basis according to the specified Projects, Chart of Accounts coding & Donors coding requirements.
  • Print out the vouchers every month, cross checking the supportive papers, documents and filing the vouchers properly
  • Ensure that the signature of Country Representative on receipt and payment (saga) vouchers are done on monthly basis. Make ready the saga vouchers for timely approval
  • Perform banking duties including deposit of cheque, collection of petty cash and other banking transactions and payments
  • Ensure that advance forms and receipts are completed before payment to staffs and vendors
  • Prepare/collect price quotations, purchase requests and bid analysis in compliance with Financial Rules and Regulation when necessary 
  • Reconciliation of the bank statements with the bank book entries in SAGA software and preparing correction entries in consultation with the Finance and Admin Manager and Coordinator
  • Make sure no payment is made without proper authorized signatures on Purchase and Service Request and Purchase Order (PO) according to Financial Rule and Regulation(FRR)
  • Ensure that staffs fill out Travel Request forms, Payment and Working Advance Request (PWAR) and verify advance clearance forms
  • Ensure that other admin/finance forms and format are filled out accurately and appropriately
  • Train other new staffs to fill up the Forms and Formats
  • Adhere to Government Tax Rules and Procedure strictly and keep up-to-date on the tax rules
  • Assist to Admin and Finance Team to conduct external Audit Exercises
  • Prepare tax deposit slip to deposit taxes in Inland Revenue Office in time. Post into ETDS and update Line Manager
  • Maintain updated personnel file of all staff with high level of security and confidentiality 
  • Support to check, scrutinize and update the financial statements, reports and supportive documents / papers received from the Partner and report to Tdh Admin./Finance Department  as required

REQUIRED QUALIFICATION AND EXPERIENCE:

  • Required at least Higher Secondary Education or equivalent in Management with minimum of two years’ experience in finance related work in similar position or responsibilities. Knowledge about I/NGO’s working procedures would be an added value. 

REQUIRED SKILLS/QUALITIES:

  • Strong knowledge and skills on basic financial works such as preparing vouchers, handling petty cash, tax, banks, filing and documentation. Good commend of computer skill on Microsoft Word and Excel and written and spoken English. The person also requires to work under pressure with high level of integrity.   

Salary and benefits: NPR 30,000-40,000 basic salary based on academic qualification, experience and competency plus provident fund, children education and communication allowances.
