                                ADMINISTRATION ASSISTANT

TASKS AND RESPONSIBITIES:

  • Handle incoming and outgoing telephone calls
  • Make necessary arrangement for travels as per ACF guidelines and procedures
  • Participate in managing events by collecting quotations from suppliers, assessment of collected quotation, visit the venue, support in preparing logistics and stationery items, maintain registration sheet, facilitate participants/guests etc.
  • Arrange tickets for domestic and international flights
  • Support in the recruitment process
  • Follow up attendance and leave record
  • Prepare minutes of the meeting
  • Support in preparing database of training institutes
  • Check and facilitate for reimbursement of medical expenses of employees
  • Check invoices (format, purchase voucher validity) and facilitate for payments
  • Deposit monthly tax to the tax office and collect and file tax receipts
  • Procure goods and materials launched by Log Manager
  • Maintain inventory record, stock record and supplier’s list
  • Other support to logistic department as and when required
  • Assist in designing visibility materials (calendar, planner, brochures, posters, leaflets etc)
  • Serve as a resource person to fix minor IT problems in the mission
  • Maintain and update ACF material reference list
  • Update staff contact list
  • Provide support to any other activities as and whenever required.

QUALIFICATIONS AND REQUIRED SKILLS :

  • 10+2 level in Management
  • At least 2 years’ experience in similar position in development sector with excellent IT skills
  • Good level of professionalism, flexible and committed to teamwork
  • Excellent oral and written communication skills in English and Nepali
  • Good interpersonal and sense of confidentiality
