POSITION TITLE: Receptionist

LOCATION: Kathmandu, Nepal

REPORTS TO: Senior Finance and Administrative Officer

DURATION: Initially for 1 year with annual extension.

START DATE: As early as possible.

POSITION DESCRIPTION

POSITION SUMMARY: Attend to office visitors, dealing telephones and email enquiries with effective communication. Provide information regarding the organization to visitors, callers, and clients.

EDUCATION AND EXPERIENCE:

  • A minimum of a Bachelor’s degree in human resources, administration, business or an interdisciplinary program or equal;
  • A minimum of three years relevant work experience, preferably in administration;
  • Good communication and interpersonal skills;
  • Assertiveness, organizational and time management skills;
  • Exposure in administration will be preferred;
  • Nepali and English typing skills;
  • Good computer skills. 

RESPONSIBILITIES:

  • Under the overall guidance and immediate supervision of the Senior Finance and Administrative
  • Officer, the Receptionist will be responsible for the following duties.
  • Receive, screen all incoming phone calls, emails, messages and connect them to appropriate staff, transfer calls and /or handle caller’s enquiries.
  • Help out each person who approaches the front desk with a query.
  • Maintain the in and out time muster kept for the visitors.
  • Sort out and hand over important packages, deliveries or messages to appropriate departments within the organization.
  • Keep close watch over staff and visitors.
  • Ensure cleanliness and orderliness in the reception area.
  • Report and security related matters to the supervisor.
  • Receiving responses and monitor visitors.
  • Maintain visitors’ register, staff attendance register, other data entry and workplace communication has to be recorded as well.
  • Maintain scheduling and event calendars.
  • Arrange appointments.
  • Typing and word processing; both nepali and english typing.
  • Organize meetings (producing agendas and taking minutes)
  • Provide basic secretarial support including text processing and information management.
  • Liaising with relevant organizations; coordinating mails and similar tasks
  • Support logistic as requested by Sr. Administrative Assistant.
  • Handle petty cash.

Undertake other related duties as assigned by Senior Finance & Administrative Officer
