Mercy Corps began operations in Nepal in 2005, and since then has implemented projects in the sectors of agriculture, food security and nutrition, financial services, youth engagement, and disaster risk reduction/ climate change adaptation. To date, this programming has reached over 900,000 people in 23 districts. Mercy Corps Nepal works to build the absorptive, adaptive and transformative potential of vulnerable individuals and communities across Nepal. The goal is attained through a systems based approach to market development, financial services, disaster risk reduction, climate change adaptation and youth engagement.

GENERAL POSITION SUMMARY:

The Programme Assistant will liaise closely with Mercy Corps 'Earthquake Recovery Project' team with regard to the day to day support for administration, logistic management and procurement related works.

As part of the Earthquake Recovery project member, the programme Assistant will manage all administrative and logistics support functions for the project and report directly to DRR project manager. He/She will work in close coordination with operations, logistics, procurement and administration staff to ensure quality, compliance and smooth functioning and implementation of Eathquake Recovery Program in Eathquake affected districts viz Kavre, Sindhupalchowk, Nuwakot and Dolkha.

ESSENTIAL JOB FUNCTIONS:

Administration

  • Assist in logistics and admin management for the project in Kathmandu and field Office,
  • Communication, data entry, translation and note talking of various events in central and district offices.
  • Regular communicate with field team to provide support on administration related works,
  • Filing-program files as delegated by managers.
  • Assist in other Admin Task as per requirement fot the project
  • Travel to field as required to support for administrative related works of the project.

Logistic and Procurement

  • Initiate procurement and logistics related requests for Earthquake Recovery Program.
  • Support for maintaining and updating inventory for Earthquake Recovery program,
  • Maintain and update stationeries and other materials stock for the project.
  • Receive goods and verify as per the quality/quantity ordered for the project.
  • Initiate to deliver goods to district office as and when required.
  • Visit project districts to verify the goods sent to field are in place.
  • Conduct himself/herself both professionally and personally in such a manner as to bring credit to Mercy Corps and to not jeopardize its humanitarian mission.

SUPERVISORY RESPONSIBILITY: N/A

REPORTS DIRECTLY TO: DRR Project Manager.

WORKS DIRECTLY WITH: MC-Nepal Operational unit, all program staff.

KNOWLEDGE AND EXPERIENCE:

  • Minimum 2 years’ experience with office administration; computer skills are required, must be an independent thinker and have strong organizational skills; Fluency in English (written and spoken) is a benefit
  • A minimum of two years experience in administrative or operational support functions with a humanitarian nongovernmental organization.
  • At least Bachelor degree in Administration, Business Study, Management or Social Science discipline.
  • Experience in setting up and managing office administration systems.
  • Demonstrated understanding of emergencies and related security concerns.
  • Excellent writing and communications skills.
  • Excellent negotiation, representation, skills and the ability to work comfortably with an ethnically diverse staff.
  • Effective verbal and written communication, organizational, prioritization and computer skills in Microsoft Office applications. Nepali typing will be an asset.
  • Demonstrated attention to detail, ability to follow procedures, meet deadlines and work independently and cooperatively with team members.
  • Proven ability to solve problems independently without direct supervision.

SUCCESS FACTORS:

Excellent problem solving skills, and ability to act as intermediary between program and operations staff to ensure smooth process flow while maintaining a balance between program implementation and compliance with Mercy Corps and donor policies.
