One Heart Worldwide (OHW) is an International Non-Governmental Organization that has been working in the area of Maternal and Neonatal Health (MNH) since 2011. OHW works with local communities and local health service providers to develop a culturally appropriate Network of Safety around mothers and infants, by raising awareness, teaching good practices, and distributing essential equipment to ensure that mothers and infants survive delivery and the first months of life.

1. Job Position: Logistics & Procurement Officer: Full-time position based in Kathmandu District.

Key responsibilities: 

Under the supervision of Administrative Director, the incumbent perform all procurement and Logistics activities in compliance with the OHW Rules and Regulations and other applicable procurement procedures including:

  • Reviews and evaluates incoming supply requisitions and requests to ensure quality and adequacy of information, specifications, appropriateness of requests, quantities, delivery dates, budgets etc
  • Draft and dispatch quotation/bid invitations, submissions to Bid Evaluation Committee, draft bid tabulation and evaluate offers and negotiating with suppliers (if required). 
  • Prepare award recommendations and issue Purchase Orders, Contracts or Long Term Arrangements. Ensures that all these activities are in compliance with the OHW Rules and Regulations, and all other applicable procurement procedures.
  • Coordinate and manage deliveries by suppliers, clearing agents; monitor and assess quality, quantity and safety of goods and equipments
  • Liaise with the district office for confirming distribution of supplies and equipments
  • Assists in reviewing, preparing and developing procurement policies and procedures.
  • Ensuring that all relevant procurement documents are up to date and coordinates with the different stakeholders to ensure timely revision and dissemination of these documents.
  • Maintains all standard contractual documents, templates and forms and ensures that they are up to date. Follows up on latest procurement developments and good practices, to improve internal process, documents and practices.
  • Provides assistance and advice on contractual issues as well as procurement policy and procedures related matters.
  • Provide guidance and advice on OHW procurement policies and procedures to support and assist the requesting sections.
  • Undertake field visits to project sites to ensure smooth logistics operations and monitoring purposes.  
  • Implement effective asset management that regularly updates the assets record. Organize the physical verification of asset and equipment, ensure that assets/equipments agreement are properly issued and signed. Provide updated assets/equipments reports periodically and when requested.
  • Tag and enter the non-expendable properties  in the Data Base
  • Ensure Store records are updated all the time.
  • Timely transport of program supplies and equipments to the field. Collect required receipts and maintain records.
  • Any other duties or assignments as requested by the supervisor

Qualifications:

  • Secondary education supplemented by university level courses in business administration, or equivalent. Additional training/education in procurement is an asset.
  • A minimum of three years work experience in related area
  • Sound knowledge of procurement practices and good customer service skills
  • Experience utilizing computers, including word processing, spreadsheet and other software packages.
  • Fluency in both oral and written in English and Nepali language 

2. Job Position: Training Supervisor: Full-time position based Dhading district that requires frequent field visits

Key responsibilities: 

  • Build sound relationships with District (Public) Health Office, program focal person, health facility staff, community stakeholders and female community health volunteers in order to maintain program schedule and achieve program deliverables at the field level 
  • Provide close and continuous support to implement "Network of Safety" including CB-IMNCH, Birthing Centers, HFOMC strengthen and community mobilization 
  • List out the training logistics and ensure the timely delivery.
  • Conduct and supervise the training events at District level, health facilities and community including HFOMC meeting and orientation 
  • Technical support to health workers, local stakeholders and FCHVs with special focus on capacity building on data reporting, recording, clinical skill 
  • Frequent field visits to facilitate the implementation process, training, technical support visits (TSV), data collection, and program follow up
  • SBA follow up and onsite coaching 
  • Support to District Coordinator  for her/his regular assignments and reports 
  • Collect routine data from health facilities and communities 
  • Provide support to conduct the performance review plan annually 
  • Contribute to prepare regular progress reports, technical deliverables, presentations, and district work plans.
  • Prepare monthly, quarterly and event reports 
  • Any other job assigned by the Supervisor

Qualifications:

  • With minimum PCL nursing from a recognized academic institution with  minimum three years of experience in the related field (preferably SBA trained)
  • Ability to function as a self-starter with limited supervision
  • Knowledge and experience using MS-Office packages and statistical packages, email and internet.
  • Good verbal and written communication including written and spoken English 
  • Good inter-personal skills, and experience of working in a team 
  • Good clinical skills, and experience with program oversight 
  • Knowledge and experience in program and community level training 
  • Practical experience in facilitation and interaction with government counterpart/local stakeholders at different local health facilities, and ability to deal with various stakeholders 
  • Able to work effectively in a multi-cultural environment
  • Sets high standards for quality of work and consistently achieves project goals

3. Job Position: Admin/ Finance Assistant: Full-time position based Dhading district.

Key responsibilities: 

Under the direct supervision of District Coordinator, the Admin/Finance Assistant support activities related to office administration, logistics and finance in the Dhading District Office including:

  • Responsible for day to day general management of offices
  • Properly register and filed all correspondence and official documents
  • Assist required support during workshops and meetings
  • Procurement of stationery/supplies following OHW procurement policy
  • Arrange for travel, transportation, accommodations and other logistics support
  • Ensure maintenance of Log book for the official bike and timely servicing and maintenance of the bike
  • Fulfilling the role of office secretariat and perform other job-related duties as requested
  • Prepare and submit monthly attendance record for district office
  • Maintain personnel records of District staff as per organization guideline
  • Maintain record of supplies and equipment received 
  • Establish and timely update the inventory records and conduct physical verification as required
  • Check and process invoice, bills and document received for payments and maintain financial transaction in accounting software
  • Ensure all expenses are within assigned district budget and check completeness of all required supporting documentation for all payments vouchers
  • Prepare financial reports including monthly reconciliations of general ledger accounts
  • Prepare bank reconciliation statement
  • Handle Petty cash as per OHW policy
  • Prepare tax reports for employees, vendors and contracts and arrange payments to tax office in a timely manner

Qualifications:

  • Secondary education supplemented by Bachelor level courses in business administration, or equivalent. Preference will be given to the candidates with specialized in finance or Office management.
  • Minimum 2 years of work experience in relevant field 
  • Experience utilizing computers including knowledge of MS Excel, MS Word, MS Office, Accounting software. 
  • Fluency in both oral and written in English and Nepali language 
  • Team work experiences 

4. Job Position: Field Supervisor: Full-time position based Dhading district that requires frequent field visits

Key responsibilities: 

  • Build sound relationships with District (Public) Health Office, program focal person, health facility staff, community stakeholders and female community health volunteers in order to maintain program schedule and achieve program deliverables at the field level 
  • Provide close and continuous support to implement "Network of Safety" including CB-IMNCH, Birthing Centers, HFOMC strengthen

  • Provide technical support visits to birthing centers, health workers and FCHVs with special focus on capacity building on data reporting, recording, clinical skill

  • Participate, represent and co-ordinate at the facility level and community level 
  • Frequent field visits to facilitate the implementation process, training, data collection, and program follow up
  • Support to District Coordinator  for her/his regular assignments and reports

  • Provide support to conduct the performance review plan annually 
  • Contribute to prepare regular progress reports, technical deliverables, presentations, and district work plans
