CIMMYT is an internationally funded, non-profit scientific research and training organization with head quarter at Mexico. It is one of several non-profit international agricultural research and training centers supported by the Consultative Group on International Agricultural Research (CGIAR) which is sponsored by FAO, World Bank, and the UNDP.
Objective:
Logistic Assistant is responsible for all types of Logistics management and assists to Finance & Administration Manager on day to day smooth operation of CIMMYT SARO in Kathmandu.

Education, Experience & other Requirement:
- Minimum 3 years of relevant works experience in INGOs.
- Intermediate Level in Commerce or equivalent.
- Knowledge of accounting & financial management would be added advantage.
- Medium level of fluency/ competency in written and spoken English.
- Ability to interact confidently with colleagues and external contacts on issues and to write documents or presentations in English.
- Sufficient competency to use the standard Windows-based software for word-processing, spread sheets, presentations, and email used at CIMMYT with occasional assistance.
- Ability to effectively use corporate systems and other specialized applications.
- Job holder needs to be a highly skilled, motivated, dynamic, innovative and service-oriented.
- Strong communications, good organizational, time management, customer service and problem-solving skills.
- Ability to work accurately, with interruptions, to meet deadlines.
- Ability to work under pressure.
- Typing skill in Nepali.
- Driving license for motorbike.
- Ability to work with different nationalities, and as a member of a multidisciplinary and diverse work team.
Main duties and Responsibilities:
- Ensure that hotel, seminar/workshop, travel bookings, airport pick-up arrangements are made accurately and in a timely manner.
- Deal and clear the custom, as and when required, with incoming/outgoing official shipments (office equipment, vehicles/motorcycles etc.) expatriate personal shipment
- Oversee maintenance/repair of office equipment/vehicles, keep vehicle registrations, records current
- Ensure that insurance policies are current, assist in securing office and expatiates (and spouse) home leases, driving licenses, housing and other related needs and bill payment (telephone, electricity etc.)
- Draft routine letters, memos, emails, fax and translate Nepali letters as needed
- Be responsible for the dispatch of vehicles, timely servicing, repairing, and insurance and keep records up-to-date
- Assist Finance & Admin Manager in procurement. Prepare requisitions for the purchase as and when required. Prepare comparison sheet and forward to Finance & Admin Manager for further process. Prepare purchase orders as required.
- Arrange and maintain good security services in the office and at IRS residences
- Ensure that office premises and equipment are clean, pleasing, and maintained in good working order
- Assist Finance & Admin Manager as necessary for the recruitment of new national staff under the guidance and supervision of the Admin and Finance Manager
- Assist Finance & Admin Manager on all legal matters in relation to conformity of all form/formats and agreements that CSARO issues/uses and any others relating to the host country’s law
- Assist Admin and Finance Manager to procure all physical and related resources; inventory records; and for ensuring efficient and optimum utilization of resources in keeping with the organization’s institutional standards
- Safeguarding and management of office inventory/fixed and other office assets.
- Handling of seed and received the required permit for import & export from the concern authority
Liaise with government agencies, embassies and others c as needed:
- Assist Admin and Finance Manager to ensure an appropriate level of government liaison and coordinate with other organizations as needed
- Deal with the Ministry of Foreign Affairs and Department of Customs, Ministry of Home, Ministry of Agriculture and Development for duty/tax exemption, visa processing of expatiates
- Work with Admin and Finance Manager to liaise with government ministries/offices to obtain nominations, approvals, renewals, visas etc. in a timely manner
- Maintain good relations with NARC, Department of Agriculture and related Ministries, NGOs etc.
- Work as a team player within the organization to develop and support activities and promote institutional goals
- Maintain office discipline and report regularly to Admin and Finance Manager
- Perform any other duties entrusted by Admin and Finance Manager, Country Representative, or other International and national scientific staff
