I - Mission context

Médecins du Monde (MdM) is an international humanitarian organisation whose mission is to provide medical care for the most vulnerable populations, the world over, including France. It seeks to stimulate voluntary commitment from doctors, other health care providers, and from those whose expertise in other fields is needed for its activities, to enlist all competent support required for the achievement of its projects, and to seek at all times to encourage close working relationships with populations in its care.

For more than 30 years, Médecins du Monde, a campaigning medical organisation committed to international solidarity, has been caring for the most vulnerable populations at home and abroad. It has continued to highlight obstacles that exist in accessing health care and has secured sustainable improvements in health-for-all policies. Those working for this independent organisation do not solely dispense care and treatment but condemn violations of human dignity and rights and fight to improve matters for populations living in precarious situations. MdM currently works in 40 countries across all continents where it focuses on 5 priority areas: caring for the health of migrants and displaced persons, promoting sexual and reproductive health, combating HIV and reducing the harm and risks associated with drug use, crises and conflicts and environmental health.

Medecins du Monde has worked in Nepal since 1995, initially focusing on TB and HIV control activities in the west of the country. Since 2007 our focus has been in Sindhupalchok District where we have implemented a 9-year project working with women cooperatives to promote sexual and reproductive health along with support to livelihoods through microfinance activities. Following the 2015 earthquakes we scaled up to provide an emergency response – running mobile medical clinics, rebuilding health facilities, supporting the District Health Authorities, and revitalizing the women cooperatives. At the moment, MdM has switched to a long-term development project reviving the cooperatives and strengthening their microfinance capabilities with an integrated health component: strengthening of public health programs through primary health care preventive activities with focused on community participation; mental health; sexual and reproductive health; gender-based violence awareness; and support through WASH installations in the health posts with continuous collaboration and support to DHO in terms of  strengthening the disaster surveillance unit and rapid response team. This work will continue until at least May 2018.

II- Main aims of the post

Under the supervision of the Logistic Officer he/she is in charge of assisting management of the mission regards to logistic issues on the missions.

DETAILED ACTIVITIES

Procurement:

  • In collaboration with the Logistic Officer, you will be responsible for local purchasing of goods for the mission, upon instruction and under the supervision of the MdM Purchasing procedures.
  • Issuing and updating Purchase Orders
  • Ensure that the suppliers fill in all receipts/invoices for local purchases correctly.
  • Translate receipts/invoices written into English if necessary.
  • Keep and update all logistic purchase files system 
  • Ensure the delivery of all purchased items to the requester, collects the proof of delivery and proceeds to the validation of the invoices by the Admin team.
  • Do not accept money, loans, credits, gifts, entertainment or commissions from past, present or future suppliers.

Stock Management:

  • Record and put away goods received, under the supervision of the Logistics Officer
  • Assist on regular check inventory levels (physical counts)
  • Checks receipts against purchase orders, to ensure accuracy and completeness of items received.
  • Participate to ensure that all items are well organized and correctly stored, well protected, fully identified and easily accessible (cleanliness, security, access, etc.)
  • Update the inventory every month and report it to Logistics Officer
  • Assist to conduct periodic physical verification and report to supervisor. 

Other duties/responsibilities:

  • Participate in internal work meetings and inform Admin team on log issues 
  • Report any security related issues to the supervisor
  • Support operational organization of field trips and MdM programs/activities
  • Manage the daily running of the office, Guest houses and Warehouse, including purchase and maintenance
  • Execute any other function required by Logistics Officer, Administration Coordinator or General Coordinator

IV-Profile sought:

  • Intermediate or Bachelor degree in Management ( with at least 1 years of professional experience in logistics/procurement (Experience with an NGO/INGO will be given preference)
  • Good operating knowledge of basic computer skills like- MS Word, MS Excel, Email Correspondence, etc.
  • Willing to work during odd hours as per the program needs of the organization
  • Honest, diligent, punctual and imparting professional attitude at the workplace
  • Communication skills- Good command over English and Nepali language with both written and spoken.

Duration: 3 months, possibility of extension

Duty Station: Kathmandu 

Anticipated start date: Mid- April 2017
