AFN is seeking to immediately recruit competent, committed, and self-motivated candidates for the following position. 

Position Title: Front Desk & Media Relations Associate

Department/Project(s): Finance and Administration/M&E

Work Place: Antenna Foundation Nepal Office, Kathmandu

Line Manager: Program Director

Supervisor/Reports to: Monitoring and Evaluation Coordinator

Responsibilities

The Front Desk & Media Relations Associate is the first point of contact of AFN dealing with stakeholders, clients as well as partner media houses to portray and assist in maintaining AFN's external relations.

Front Desk Functions:

  • Answer all incoming calls and handle caller’s inquiries whenever possible and call to other organizations/individuals as per other staff’s request
  • Receive and relay telephone/fax messages to concerned persons
  • Check mail of AFN including vacancy’s mail and deliver/inform the mail to respective person.
  • Register incoming and outgoing letters, documents and faxes
  • Maintain the general filing system and file all correspondence letters and official documents

Support to Administration Functions:

  • Supervise and support on issues related to office premises clean and tidy especially reception area

Support to M&E Functions:

  • Assist M & E Coordinator on issues related to program impact evaluation and broadcasting. 
  • Assist in planning and implementation of overall monitoring and evaluation activities.
  • Assist M & E Coordinator to assess impact of program activities of AFN, including lessons learned and success stories for creating knowledge base and for reporting purpose.
  • Collect data to facilitate program assessment and reporting on outputs and achievement of outcomes, assessing performance using performance indicators. 
  • Assist in survey and other data entry. 
  • Document information, reports and other resource materials to contribute in creating a knowledge bank for AFN.
  • Assist M & E Coordinator in maintaining smooth and productive relationship with the partner radio stations.
  • Collect local partners’ profile, broadcast certificates and other documents as required
  • Be responsible for the distribution and broadcast of all audio/visual contents of AFN and make sure the content is received by all broadcasting partners
  • Be available at the studio during the broadcast of the live program and make sure stations receive live audio signals
  • Monitor broadcasting of radio programs by radios. If the radio program is not broadcasted, timely report to M & E Coordinator. 
  • Maintain a correspondence and filing system of the communication with partner stations. 
  • Liaison with ISP partner, satellite broadcast partners and local stations regarding internet, live audio streaming broadcast of the radio content.
  • Look into Call for Proposals published in newspapers and provide it to senior management committee 

Other:

  • Any other duties as assigned by his/her supervisor and other senior staff. 

Key Requirements:

  • Bachelor’s degree in Business Administration or equivalent with at least 2 years experience in secretarial services
  • An ability to manage the front desk.
  • Sound knowledge of public relations and dealing with the media.
  • Good both in spoken and written Nepali as well as English.
