Mission East, a Danish international relief and development organization working in Nepal from 2007 in the areas of water, sanitation and hygiene, food security and livelihood, disaster risk reduction and women empowerment invites applications from qualified Nepalese citizens for the position of:

Job Position: Admin/ Finance Assistant

Location / department: Kathmandu, Nepal

Length of contract: One year Renewable Basis- Level- 4 D

Responsible to: Admin/ Finance Manager 

KEY TASKS AND RESPONSIBILITIES:

The Admin/Finance Assistant will be employed for Mission East Nepal under the direct supervision of Admin/Finance Manager to support activities related to office administration, logistics and finance. 

Key Tasks & Responsibilities:

Admin/Logistics

  • Ensure that the reception is staffed all working hours and over lunch breaks, providing back up when necessary. 
  • Properly register and filed all correspondence and official documents. 
  • Manage the general email address of Mission East and assist in scanning and faxing as required.
  • Assist required support during workshops and meetings.
  • Obtain information and quotation of procurement processes.
  • Procurement of operational day to day equipment and program logistics including procurement of supplies. 
  • Arrange for travel, transportation, accommodations and other logistics support. 
  • Perform and support on renewal of visa, and custom clearances of International staffs.
  • Ensure proper official car/vehicle movement to handle and maintenance; coach the ME consultant driver for vehicle movement and maintenance. 
  • Coach consultant driver to prioritize the official works to get support of him on administrative and logistic arrangement. 
  • Nepali Typing for some official correspondence. 

Finance

  • Check and process invoice, bills and documentation for payments and maintain financial transaction in accounting software.
  • Maintain Petty cash and support on monthly financial reporting.
  • Responsible for recording of tax and arrange deposit to income and supplier Tax in a timely manner.
  • Prepare and maintain fix asset register and conduct physical verification on a regular basis where applicable. 
  • Responsible for day to day general management of offices and monitor usage of utilities.
  • Fulfilling the role of office secretariat and perform other job-related duties as requested.

QUALIFICATION AND EXPERIENCE:

Qualification:

  • Bachelor’s Degree in management  (Preferred  will given  with  specialized in finance and Office management)

Experience: 

  • A least 2 years practical work experience in relevant field (with a non profit making organization NGO/INGO is a plus). Strong practical knowledge of Excel, MS Word, MS Office, Accounting software. 
  • Excellent language skills in English & Nepali, proven ability to work co-operatively and confidently in a team.
